Job Summary

We are seeking a highly motivated and detail-oriented Client Service Representative to join our team at Healthcare for the Homeless Inc. The ideal candidate will provide exceptional customer service to clients, staff, and visitors, ensuring a positive and welcoming experience at our clinic.

Key Responsibilities
  • Greets clients and visitors, routing them to the correct staff member and utilizing appointment systems, registration staff, and triage protocols.
  • Manages client intake, registering and assisting clients with completing baseline information, ensuring client charts are complete and up-to-date.
  • Processes internal and external referrals, informs clients of their referral information, schedules follow-up appointments, and distributes tokens.
  • Schedules appointments for clients across multiple disciplines via in-person requests or telephone calls, documenting all activities in the EMR.
  • Supports other members of the clinic team to ensure smooth client workflow and excellent customer service.
  • Takes phone calls, provides telephone triage, disseminates messages, and prioritizes calls.
  • Processes release of information requests, receives and distributes PHI in accordance with agency protocols and adheres to HIPAA and patient confidentiality requirements.
  • Contributes to the achievement of established department goals and objectives, adheres to department policies, procedures, quality standards, and safety standards.
  • Takes personal responsibility for the neat appearance of their workspace and the reception area, ensuring each area represents the agency in a positive manner.
Requirements
  • High School Diploma or GED required.
  • One year of experience in Customer Service required.
  • Experience working with people who are experiencing homelessness or from low-income backgrounds.
  • Experience working with computers and databases, preferably medical or insurance systems.
  • Bilingual (Spanish) highly preferred.
Preferred Qualifications
  • Excellent customer service skills, with ability to clearly communicate verbally and in writing.
  • Ability to maintain confidentiality in all circumstances.
  • Ability to remain calm in highly inflammatory circumstances, providing and taking clear direction and maintaining a respectful demeanor.
  • Security or de-escalation training preferred.
  • High level of motivation, initiative, and responsibility.
  • Able to work with interdisciplinary teams.
  • Able to cope with interruptions, be flexible, and be a team player.
