POSITION SUMMARY:

The Healthcare Administrative Coordinator is an integral member of the medical office team, responsible for performing essential clerical tasks to facilitate patient visits, manage billing processes, and assist with appointment scheduling. Key responsibilities include answering phone calls, managing appointment calendars, preparing patient records, collecting insurance information, recording financial transactions, and handling payments. This role also involves collaborating with the healthcare team to ensure the delivery of care aligns with the Patient-Centered Medical Home model.

KEY RESPONSIBILITIES:

  • Patient Engagement
    • Welcome patients to the facility, addressing inquiries and assisting with the completion of necessary documentation.
    • Manage incoming calls, schedule appointments, route inquiries appropriately, and ensure patient confidentiality while providing necessary information.
    • Monitor the waiting area for patient well-being and communicate any concerns to clinical staff.
    • Update patient records and electronic health information, ensuring timely completion of annual assessments.
    • Refer patients to the Patient Navigator for additional support when barriers to care are identified.
    • Assist patients in selecting their primary care provider and document this choice in the electronic medical record.
    • Direct clinical inquiries to the appropriate staff members as per established protocols.
    • Provide patients with a summary of their visit upon checkout.
  • Team Collaboration
    • Participate in ongoing training related to the Patient-Centered Medical Home model.
    • Perform additional duties as assigned by Mid Delta Health Systems Inc. to enhance primary healthcare services.
  • Administrative Functions
    • Coordinate and confirm patient appointments, notifying relevant staff of missed appointments and ensuring follow-up actions are taken.
    • Assist patients with rescheduling and address any scheduling concerns.
    • Collect and verify third-party payment information and insurance coverage.
    • Communicate billing issues, including credit card declines, to patients.
    • Ensure patients are informed about the Sliding Fee Scale and assist them in applying if eligible.
    • Orient new patients to the practice, manage fee collection, and maintain patient registration data for reporting purposes.
    • Facilitate the transfer of medical records to other healthcare providers as requested.
    • Maintain an organized and efficient reception area.
    • Perform any other assigned tasks as needed.

QUALIFICATIONS:

  • Strong interpersonal skills to effectively engage with the public, patients, and healthcare providers.
  • Proficiency in performing various medical office tasks, including basic mathematical calculations.
  • Ability to operate computer systems for data entry and retrieval.
  • A valid driver's license and reliable transportation are required.
  • Commitment to ongoing training related to patient care across different age groups.

EVALUATION:

Performance evaluations will be conducted regularly by the Patient Services Coordinator, incorporating feedback from the senior clinician. Evaluations will assess adherence to job responsibilities, employee attitude, and overall work behavior. Formal evaluations will typically occur annually, with the possibility of additional assessments as needed.

STATUS:

This position is classified as FLSA Non-Exempt, OSHA low risk, ADA negotiable, and safety-sensitive. Mid Delta adheres to state and federal vaccination guidelines.
