Veterinary Customer Service Representative

This is an ongoing job posting that will be filled as the need arises. The College of Veterinary Medicine is hiring a Veterinary Customer Service Representative. This role will be responsible for clerical duties related to veterinary care and treatment, processes invoices and payments, direct incoming phone calls, and provide support to veterinary team. Processes clients' animals for admission into and discharge out of Auburn University Veterinary Teaching Hospitals.
Key Responsibilities- Welcome clients to the hospital, register clients' animals that are in need of medical attention and verify client, patient, and referring veterinarian demographics.
- Ensure all proper paperwork is completed, gather records from other veterinary facilities as needed, compile the physical medical record, and alert the appropriate clinical personnel of the patient's arrival.
- Communicate frequently with the clinical team regarding patient/client needs and expectations.
- Receive and screen telephone calls.
- Provide information and assistance to callers and/or visitors regarding clinic and hospital procedures and processes.
- Determine appropriate course of action, referral, or response.
- Communicate admissions information, fees, discharge date(s), clinic regulations, or other clinic services to clients.
- Discharge clients in a timely and appropriate manner.
- Address any past accounts or financial follow-ups.
- Confirm client does not have any further clinical questions.
- Assist clinicians with patient examinations, simple treatments, and recording patient data under direct supervision when needed.
- High School Diploma or equivalent
- Experience in a referral veterinary practice is highly desired.
- Excellent written and interpersonal communication skills, including public speaking skills and customer service skills
- Experience with medical software such as an electronic medical record, practice management software (UVIS, Cornerstone, etc.), scheduling system, billing system, etc.
- Education beyond the high school diploma or equivalent from an accredited institution is desired.
- The successful candidate will possess excellent stress management and critical thinking skills.
Typical shifts Monday-Friday 7:30AM-4:30PM with some flexibility required. Total hours per week are flexible based on availability.
