Role Summary

The Medical Office Receptionist will be responsible for welcoming patients, managing patient records, and facilitating the flow of appointments at the designated healthcare facility.

Key Responsibilities:

  • Professionally greet patients both in-person and via telephone.
  • Address inquiries promptly or direct them to the appropriate personnel.
  • Enhance patient satisfaction by optimizing appointment scheduling.
  • Accurately enter patient demographic and insurance information into the electronic medical record (EMR) system.
  • Provide reassurance to patients by addressing their concerns and questions effectively.
  • Ensure treatment information is accessible by maintaining and updating patient records.
  • Verify patient eligibility for services.
  • Collect co-payments, co-insurance, and deductibles as required.
  • Inform clinical staff of patient arrivals.
  • Manage office supplies and equipment by anticipating needs and placing orders as necessary.
  • Process payments accurately and issue receipts to patients.
  • Facilitate patient check-out and conclude visits efficiently.
  • Reconcile daily financial transactions and ensure accuracy in reporting.
  • Count cash drawer daily to confirm accuracy and maintain logs.
  • Perform additional duties as assigned.

Required Skills and Qualifications:

  • High school diploma or equivalent.
  • Minimum of 1 year of experience in a clinical or hospital setting preferred.
  • Bilingual proficiency in Spanish is required.
  • Familiarity with medical terminology, HIPAA regulations, and coding systems (ICD and CPT) is advantageous.
  • Creative problem-solver with strong analytical skills.
  • Exceptional attention to detail and ability to manage multiple tasks.
  • Strong organizational and administrative capabilities.
  • Ability to perform under pressure and respond effectively to emergencies.
  • Discretion in handling sensitive information.
  • Excellent communication and documentation skills, along with basic IT proficiency.
  • Commitment to delivering high-quality healthcare services.

Physical Requirements:

  • Ability to sit for extended periods while working at a desk and using a computer.
  • Capability to lift up to 25 pounds as needed.
