Position Summary
Under the guidance of the Studio Owner, the Studio Operations Manager will spearhead our client engagement initiatives and supervise the daily functions of the staff at our locations. This role is vital for the seamless operation of the studio(s) and involves keeping the studio owner updated on significant client issues, projects, and other critical matters. Responsibilities include scheduling, training, studio upkeep, and assisting in the coordination of all events and programs at the studio.

Key Objectives
The primary goals for this position include: ensuring operational efficiency, fostering exceptional client service, addressing client inquiries and scheduling, facilitating staff training and recruitment support, and representing the Studio Owner and/or Regional Manager with professionalism and diplomacy.

Essential Duties and Responsibilities

  • Provide exemplary customer service to all clients and visitors.
  • Perform all receptionist and administrative tasks at the front desk.
  • Manage and schedule client appointments.
  • Execute opening and closing procedures as necessary.
  • Maintain a welcoming, clean, and organized environment, including setup and cleanup for demonstrations, as well as tidying the reception area and restrooms.
  • Ensure a minimum number of prospecting calls are achieved (minimum 75 calls/day per studio).
  • Confirm all scheduled appointments for the day.
  • Implement and uphold all studio policies, procedures, and quality/service standards.
  • Track and report on studio KPIs daily, bi-monthly, monthly, and quarterly; submit required reports to management as necessary.
  • Prepare reports and other documents, some of which may be sensitive and confidential, with support or approval from the Studio Owner/Regional Manager.
  • Create promotional emails and social media posts for studio programs, promotions, or events.
  • Ensure adequate coverage for all offerings and develop plans for make-up sessions or compensation for clients in case of staff absence or studio closure.
  • Communicate essential information promptly and clearly to staff and team leaders.
  • Collaborate with the Studio Owner or Regional Manager and marketing stakeholders to enhance program visibility and marketing efforts.
  • Maintain an inventory of studio and promotional supplies.
  • Supervise assigned staff and manage personnel-related activities as needed.
  • Plan and update staff work schedules to ensure operational quality and efficiency.
  • Conduct initial interviews with potential candidates.
  • Assist in onboarding and training new and existing employees regarding studio operations and policies.
  • Perform other duties as assigned by the studio owner.

Required Knowledge and Skills

  • Approach the role as a representative of the Owner, demonstrating respect for the studio, members, and colleagues.
  • 2-3 years of experience, including at least 2 years in full-time office management in a related field.
  • Proficiency in Stretch Zone techniques, processes, and procedures.
  • Effective time management skills.
  • Flexible schedule with availability for evenings and weekends as needed.
  • Strong knowledge of standard operating procedures and policies as outlined in the operations manual.
  • Proficient in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Demonstrated ability to manage, train, and supervise a diverse team.
  • Creative thinker with high ethical standards, a positive attitude, self-initiative, and the ability to work independently.
  • Excellent communication, interpersonal, customer service, and basic math skills.
  • Strong problem-solving abilities.
