Work Schedule: Monday to Friday – 8 am to 5 pm
Compensation: Starting at $15.38/hour

The primary function of this role is to deliver administrative and customer service support to the designated Department/Division and its personnel. Responsibilities include:
- Acting as the initial point of contact for all clients utilizing the services provided.
- Engaging with clients via phone or in-person to furnish information regarding services and to gather details about their inquiries or concerns.
- Representing the organization in a professional and efficient manner to assist clients promptly.
- Supporting the rollout of organization-wide customer service initiatives.
- Maintaining and updating daily logs and databases to ensure high-quality service delivery.
- Preparing and distributing various reports on a weekly, monthly, quarterly, and annual basis as required.
- Drafting documents including correspondence and reports, ensuring accuracy in grammar, spelling, punctuation, and formatting.
- Organizing and maintaining department files and filing systems, including preparing files for archiving.
- Coordinating meeting schedules as needed.
- Utilizing state MIS systems to access and distribute reports as necessary.
- Documenting customer interactions and transactions, including inquiries, complaints, and resolutions.
- Resolving customer service issues by providing information or directing clients to appropriate resources.
- Referring unresolved issues to the relevant departments for further handling.
- Communicating effectively with coworkers, management, clients, and the public in a courteous manner.
- Providing backup coverage at the reception desk when required.
- Operating office equipment such as copiers and other devices.
- Sorting and distributing incoming mail.
- Creating and organizing files as necessary.
- Adhering to all regulations, policies, and work procedures.
- Responding promptly to telephone calls and correspondence.
- Taking on additional responsibilities as needed to ensure quality service delivery.
- A high school diploma or equivalent is required, along with general knowledge of office procedures and at least one year of experience in a clerical or administrative role.
- Proficiency in using office equipment, including computers, calculators, and telephones, is essential. Familiarity with word processing and spreadsheet software is also necessary.
- Strong communication and interpersonal skills are vital. Knowledge of current funding resources for employment training programs is preferred.
- The ability to establish and maintain effective working relationships with colleagues and the public is crucial, along with the capacity to communicate effectively both orally and in writing.
- The ability to manage multiple tasks efficiently is required.
