Position Overview:
Utilizing Ultipro and PeopleMatter systems, this role assists field management with human resources functions to ensure accurate compensation for team members, compliance with policies and regulations, and the maintenance of up-to-date employee records.
Key Responsibilities:
- Collaborates with field management in designated regions, addressing inquiries via phone and email while providing support related to employee HR data processes.
- Verifies and/or amends any information entered in the field. Processes all rehires, transfers, salary adjustments, promotions, and demotions within assigned areas.
- Organizes documentation for personnel files by preparing paperwork and generating coversheets for scanning.
- Investigates discrepancies by examining audit trails and archived documents (stored in Image Silo and Filesurf).
- Assesses I-9 forms and other documentation to ensure compliance with policies and regulations, advising field management of any identified issues.
- Manages additional projects as required, including liaising with external vendors, procuring departmental supplies, handling regular mailings, and triaging inquiries.
Working Relationships:
Engages daily with retail field management, from Store Managers to Division Vice Presidents, with occasional interactions with external vendors.
Minimum Educational Requirements:
High School Diploma
Preferred Educational Background:
Associate's degree or some college coursework
Minimum Experience Required:
At least one year of office experience with a focus on customer service and some data entry
Preferred Experience:
Familiarity with basic Microsoft Word and Excel
Essential Soft Skills:
Strong interpersonal abilities, service-oriented mindset, and effective organizational skills
Work Schedule:
Monday through Friday, 8:00 AM to 4:30 PM
Physical Requirements:
Primarily sedentary work
Other Considerations:
Miscellaneous tasks as assigned
