About the Role

This Administrative Assistant position is an exciting opportunity to join Highwoods Properties and contribute to the success of our Tampa division office.

We are seeking a highly organized and detail-oriented individual to provide day-to-day administrative support to our asset management, property management, and maintenance teams.

The successful candidate will be responsible for representing Highwoods Properties in a professional manner to customers, vendors, and the public, while championing efforts to enhance the customer journey and foster a customer-centric culture within the division.

Key Responsibilities:

  • Build strong customer relationships by proactively addressing customer concerns and inquiries, demonstrating a positive attitude and dedication to providing exceptional service.
  • Assist with customer relations opportunities to promote open communication and trust between Highwoods and our customers.
  • Contribute to efforts to drive customer retention, reduce churn, and increase overall customer satisfaction.
  • Manage all correspondence to customers and vendors, creating templates for management staff use.
  • Create trade contracts and manage through the execution process via DocuSign.
  • Maintain accurate records, including property lists, building data, customer data, and property management division information.
  • Handle purchase orders, PCard processing, and invoice processing as needed.
  • Support special events and maintain vendor and customer certificates of insurance.
