Job Summary

The Accounting Clerk will be responsible for performing various accounting and administrative tasks, including:

  • Matching invoices with purchase orders and transmitting to the finance department
  • Handling miscellaneous income, including receiving, receipting, and depositing
  • Maintaining petty cash funds and internal controls for food stamps, beneficiary accounting records, bale inventory, and truck seals
  • Processing daily store sales reports for transmission to the finance department
  • Submitting bi-weekly payroll
Responsibilities

The Accounting Clerk will perform the following duties:

  • A. Payables
    • File approved request to purchase and purchase orders in alphabetical order
    • Receive and match invoices with packing and delivery slips
    • Have administrator review and initial all invoices
    • Transmit invoices to the finance department
    • Issue blank purchase orders and maintain a log of issued purchase orders
  • B. Petty Cash
    • Sign for and be responsible for petty cash
    • Reimburse qualified expenses with petty cash
    • Prepare petty cash reimbursement forms
  • C. Cash Receipts
    • Receive miscellaneous income
    • Receipt miscellaneous income in a cash receipt book
    • Make daily deposits of miscellaneous income
  • D. Food Stamps
    • Receive and maintain food stamps
    • Maintain a food stamp control log
  • E. Store Sales
    • Review daily store sales reports for accuracy and completeness
    • Ensure all required information is attached to daily store sales reports
  • F. Beneficiary Accounting Records
    • Issue canteen cards
    • Maintain a canteen card control log
    • Reconcile canteen card and/or cash kept at residence weekly
  • G. Bale Inventory
    • Issue bale tags
    • Maintain a bale tag inventory control ledger
  • H. Truck Seals
    • Issue truck seals
    • Maintain a truck seal issue log
  • I. Payroll
    • Process payroll every other week by the prescribed deadline
    • Run pre-check detail listing reports and reconcile with pre-check register reports
  • J. Other
    • Maintain credit card and store membership card control logs
    • Process and maintain permanent IOUs
Qualifications

To be considered for this position, you should have:

  • 1-2 years of experience in basic accounting procedures and/or prior experience in accounts payable/receivable
  • Familiarity with basic payroll concepts
  • Competency in MS Office, databases, and accounting software
  • Accuracy and attention to detail
  • Ability to perform filing and record-keeping tasks
  • Data entry and word processing skills
  • Well-organized
  • High school diploma
  • Associates degree or relevant certification is a plus
Physical Demands

The Accounting Clerk will be required to:

  • Sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis
  • Grasp, push, pull objects such as files, file cabinet drawers, and other office equipment
  • Communicate clearly on the telephone
  • Lift up to 25 pounds
  • Perform various repetitive motion tasks
