Job Title: Corporate Office Coordinator

We are seeking a highly skilled and organized Corporate Office Coordinator to join our team at Black Swan Manufacturing Company. This is a unique opportunity for a motivated individual who can provide exceptional support to our office administrators and colleagues.

The ideal candidate will have proven work experience as a secretary or administrative assistant, with strong communication skills and the ability to prioritize tasks effectively. As a Corporate Office Coordinator, you will be responsible for performing skilled clerical work, customer service, and providing general secretarial support. You will also be involved in data entry, maintaining financial records, and facilitating communication among company departments. Additionally, you will be the point of reference for all queries, requests, or issues and will play a crucial role in optimizing workflow procedures in the office.

This position requires a friendly and professional demeanor, as well as high dependability and trustworthiness. You must be able to maintain confidentiality when dealing with sensitive documents and have a strong attention to detail. The ideal candidate should also be proficient in Microsoft Office software programs, including Word and Excel.

Key Responsibilities:
  • Order processing
  • Data Entry
  • Logistics – setting up truck shipments and inbound shipments
  • Receiving and distributing relevant information to/from internal and external sources by telephone, email, or in person
  • Bridging communication among company departments
  • Responding to customer service inquiries via telephone or email
  • Screens documents, books appointments, and takes messages
  • Composing letters, memos, emails, and other formal documents
  • Accounts receivable and accounts payable
  • Payroll
  • Developing and implementing office procedures
  • Taking initiative to make minor job-specific decisions in the absence of the president
  • Filing and updating contact information of employees, customers, suppliers, external partners, and general company records
