Job Summary

We are seeking a highly skilled Clinical Scheduling Coordinator to join our team at Yale School of Medicine. In this role, you will be responsible for providing comprehensive clinical ambulatory scheduling for providers within the department/specialty utilizing the EPIC scheduling system.

Key Responsibilities
  • Critically evaluate the nature and urgency of scheduling requests to provide prompt and courteous service to patients, primary/referring providers, and their office staff.
  • Utilize active listening skills to accurately assess and direct callers to the appropriate resource.
  • Build monthly provider master schedules and clinic calendars from established sources and verify provider sessions worked.
  • Schedule patient appointments and resolve scheduling conflicts, notifying patients of changes/cancellations and prioritizing urgency of appointments for rescheduling.
  • Receive patients and visitors, securing names and needs and directing accordingly, and update patient information and verify insurance information.
  • Book diagnostic tests and specialized appointments for patients at hospitals and other medical facilities, ensuring patients are provided with necessary paperwork and specialized instructions for procedures.
  • Schedule surgical procedures for patients, coordinating available dates for surgery and scheduling of pre and post-operative exams and lab work.
  • Coordinate departmental meetings, classes, clinics, conferences, and other events.
  • Utilize computer input and retrieve data, merging and manipulating data to generate complex reports, and compile and maintain clinical and patient statistical data and produce summaries and reports.
  • Keyboards correspondence, clinical information, reports, publicity material, educational handouts, and compose general written material.
  • Obtain patient charts, medical records, and lab reports and verify for completeness, and sort, screen, and distribute incoming mail.
  • Maintain filing systems and inventory of office supplies and educational material.
  • May oversee and instruct support staff, ensuring adequate coverage of the reception desk.
Requirements
  • Four years of related work experience, two of them in the same job family at the next lower level, and a high school education; or two years of related work experience and an Associate degree; or an equivalent combination of experience and education.
  • Outstanding interpersonal skills, extraordinary customer service skills, and ability to professionally and effectively interact with all members of the patient's care team.
  • Demonstrated ability to handle heavy phone volume, exercise initiative, and use sound independent judgment and critical thinking to effectively and appropriately manage patient/caller interactions.
  • Strong organizational skills, ability to pay attention to detail, and perform a variety of routine job tasks to meet occasional conflicting demands, time pressures, deadlines, or emergencies.
  • Well-developed and competent in English language, grammar, spelling, and punctuation to type accurately, enter all patient information, and review medical records.
  • Proven record of exemplary attendance, punctuality, and reliability.
Preferred Qualifications
  • Proven experience scheduling in a high-volume healthcare-related call center/medical practice.
  • Comprehensive knowledge of medical terminology.
  • EPIC scheduling, messaging (in-basket messages), telephone encounter, and chart review skills.
  • Proven experience using an electronic medical record system and multi-line telephones.
  • Proven experience with ACD lines, and call queues.
  • Spanish speaking.
