Position Overview

The County of Yolo is seeking to fill one (1) full-time position for the role of Criminal Records Administrative Specialist within the Yolo County Sheriff's Office (YCSO).

Role Responsibilities

Under general supervision, this position is responsible for executing routine administrative and clerical tasks within the Sheriff's Office, which include, but are not limited to:
  • Processing inmate bookings and managing legal documentation and reports.
  • Monitoring inmates remotely and/or within detention facilities.
  • Conducting interviews with inmates to gather necessary information for jail processing and evaluating alternative sentencing options.
  • Serving as the Transportation Coordinator for incarcerated individuals.

The Criminal Records Administrative Specialist is a non-sworn role focused on clerical and specialized administrative duties associated with court and jail operations, as well as coordinating the transportation of inmates both locally and statewide.

Key Duties

Duties may include, but are not limited to:
  • Performing a variety of clerical tasks such as compiling, replicating, and preparing documents; entering and updating inmate data in law enforcement systems; maintaining confidential records; and submitting necessary paperwork.
  • Coordinating inmate transfers by reviewing legal documents for accuracy and compliance, scheduling arrivals and departures from detention facilities, and preparing necessary documentation.
  • Managing extradition and transportation files, ensuring safety and compliance with legal requirements.
  • Compiling data from various sources to complete forms and reports in accordance with established procedures.
  • Monitoring and maintaining GPS units for Home Custody inmates and conducting necessary checks.
  • Responding to inquiries regarding inmates and programs from law enforcement, court personnel, and the public.
  • Collaborating with attorneys and other agencies to coordinate inmate transportation for court appearances.
  • Conducting drug tests and processing registrants as required.
  • Interviewing inmates and employers to assess program eligibility and needs.
  • Performing related duties as assigned.

Qualifications

Minimum Requirements

Education: High school diploma or G.E.D. AND

Experience: Two (2) years of clerical or support services experience, preferably in a law enforcement setting.

Background Requirement: Candidates must not have felony convictions or any offenses that would be considered felonies in this state.

License: A valid California driver's license may be required for some positions.

Knowledge and Skills

Knowledge of:
  • Recordkeeping and confidential records management practices.
  • Interviewing techniques for information gathering.
  • Office procedures and equipment, including relevant software applications.
  • English language usage, spelling, grammar, and punctuation.

Ability to:
  • Learn and apply law enforcement terminology and regulations.
  • Perform mathematical computations related to inmate work and good time credits.
  • Read and interpret technical court documents.
  • Maintain accurate records while safeguarding confidential information.
  • Communicate effectively, both verbally and in writing.
  • Utilize office equipment and software efficiently.
  • Provide excellent customer service and maintain effective working relationships.
