Job Description and Duties

The Office Assistant serves as the initial point of contact for the public and employees of the California Men's Colony. Key responsibilities include providing exceptional customer service, responding to phone calls and walk-ins, answering general questions, and assisting with document completion. Additionally, the office assistant will process employee identification cards, input information into the State Identification Card System, type, distribute, and log Non-custody Probation Reports and Individual Development Plans. They will also prepare folders for new employees and transfers, file pertinent documents in the Official Personnel File, and maintain a fully stocked reception area with personnel forms. This role requires strong organizational skills and attention to detail, as well as the ability to work effectively in a fast-paced environment. The ideal candidate will possess excellent communication and interpersonal skills, with the ability to effectively interact with diverse populations.

Special Requirements

  1. The position requires the ability to type at a minimum speed as designated on the Class Specifications. A valid typing certificate confirming this ability is required prior to hiring.
  2. A Typing Certificate is also required. A copy of this certificate must be provided prior to hiring.

It is essential to note that no confidential information should be included on any documents submitted for job vacancies, including the State application, resume, or educational transcripts. Confidential information, such as Social Security numbers, birth dates, student identification numbers, driver's license numbers (unless required), basis of eligibility, examination results, LEAP status, marital status, and age, should be excluded or removed from these documents.

Possession of Minimum Qualifications will be verified prior to interview and/or appointment. If you are meeting Minimum Qualifications with education, you must include your unofficial transcripts/diploma for verification. Official transcripts may be required upon appointment. If it is determined an applicant does not meet the Minimum Qualifications, the candidate will be withheld from the eligibility list, rendering them inactive and ineligible to be hired for the position. Candidates who have been withheld may file an appeal with the State Personnel Board.

Candidates new to CDCR or the Division of Juvenile Justice are required to submit to a background investigation process utilizing Live Scan Fingerprinting, and Tuberculosis testing prior to appointment followed by department annual Tuberculosis testing/evaluation thereafter.
