Our community and youth development initiatives are designed to enhance cultural identity, promote artistic practices, and improve access to financial resources.
We are currently seeking a temporary Program Assistant for the Oglala Lakota Artspace (OLA). This role involves assisting in the preparation and execution of events, supporting workshop facilitators with participant registration and data collection, and providing administrative assistance to Program Managers and the Associate Director of the OLA.
The OLA stands as the first dedicated art space on the Pine Ridge Reservation, featuring artist studios, a recording studio, workshop and classroom areas, a performance venue, and offices for partner organizations. This support role is crucial in creating a safe and inviting environment for the community to engage in cultural, creative, and educational activities centered around Collective Spirit.
Compensation: This is a temporary, full-time, non-exempt/hourly position with a pay range of $15 to $25 per hour, commensurate with skills and experience.
Work Schedule: The standard work hours are Monday to Friday, 9 am to 5 pm, with potential adjustments for weekends or evenings based on program needs.
Key Responsibilities:
- Prepare classrooms for workshops and meetings, including setup and breakdown of furniture and equipment, as well as cleaning and sanitizing.
- Perform light housekeeping duties to maintain a clean and safe environment.
- Coordinate meal planning with local caterers.
- Manage workshop and class registrations, including evaluations post-event.
- Input registration data into Salesforce as required.
- Assist with inventory management, including recording and tagging items.
- Maintain office supplies and oversee the upkeep of office equipment.
- Handle incoming deliveries and mail distribution.
- Answer and direct phone calls, screening as necessary.
- Welcome and guide visitors and clients.
- Organize and maintain filing systems.
- Retrieve and summarize information from records and documents as needed.
- Address administrative inquiries and provide resolutions.
- Coordinate travel, meetings, and appointments for management.
- Prepare meeting agendas and act as a designated note-taker.
- Perform additional related duties as assigned.
- Manage facility scheduling and inquiries.
- Adhere to all safety and security policies regarding the facility and community members.
Qualifications:
- A high school diploma or GED is required; an Associate's degree in Business Administration is preferred.
- Two to three years of experience in an office or program support role is advantageous.
Skills and Abilities:
- Strong verbal and written communication skills.
- Exceptional interpersonal and customer service abilities.
- Ability to collaborate effectively within a team.
- Proficiency in Google Workspace, Microsoft Office Suite, or similar software.
- Excellent organizational skills and attention to detail.
- Basic knowledge of clerical procedures and recordkeeping.
- Proactive approach with problem-solving capabilities.
- First Aid/CPR/AED certification is preferred; training will be provided if necessary.
- Familiarity with Native arts and culture, particularly within the Pine Ridge community, is a plus.
- Willingness to work occasional evenings and weekends for special events.
- Ability to sit for extended periods and perform light lifting (up to 30 pounds).
