We are seeking a highly skilled and detail-oriented Administrative Associate 2 to provide exceptional administrative support for the Division of Immunology and Rheumatology at Stanford University.

Job Overview

The successful candidate will have the opportunity to work with operational teams in specialty areas such as research administration, finance, and help drive forward innovative and impactful research projects undertaken by our faculty. This role requires an individual who is a team player, has strong verbal and written communication skills, and is meticulous in their attention to detail.

Key Responsibilities
  • Respond to inquiries and determine appropriate action as required, serving as a resource regarding defined policies and procedures.
  • Organize and operate conferences, seminars, and events, including vendor management, logistics coordination, and liaison services.
  • Draft and generate routine communications, coordinate production, and dissemination of documents, such as presentations, grant proposals, and reports.
  • Plan and schedule calendars based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, researching and resolving discrepancies.
  • Maintain office supplies and equipment, obtain vendor quotations as needed, and coordinate office moves.
  • Serve as point of contact for general maintenance, health and safety, and facility concerns within the unit(s), reporting incidents or potential safety problems.
Requirements and Qualifications
  • Bachelor's degree with 2-3 years administrative experience, or equivalent combination of education and relevant experience.
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Strong organizational skills, attention to detail, and excellent customer service and interpersonal skills.
Compensation and Benefits
