The position also involves maintaining client files, responding to inquiries, and facilitating effective communication across various departments.

Key Responsibilities:

  • Draft, revise, and finalize a diverse range of legal documents with precision.
  • Assist attorneys with client onboarding, conflict checks, and audit correspondence.
  • Accurately log attorney billable hours in the timekeeping system to adhere to deadlines.
  • Collaborate with the Accounting Department to manage client billing and receivables.
  • Efficiently coordinate travel arrangements, ensuring all logistics are handled accurately.
  • Handle incoming calls, screen communications, and respond to client inquiries professionally.
  • Open, assess, and route incoming mail as per instructions.
  • Support fellow Legal Administrative Assistants to meet firm and client requirements.
  • Assist Shareholders in preparing for both internal and external meetings.
  • Organize and maintain both physical and electronic client files in line with firm policies.
  • Engage with various departments daily to ensure optimal legal support.
  • Prepare and submit expense reports for attorneys.
  • Manage attorney schedules and coordinate client meetings effectively.
Essential Skills & Competencies:
  • Ability to prioritize tasks in a fast-paced environment.
  • Strong organizational skills with the capability to manage multiple projects simultaneously.
  • Professional demeanor, attention to detail, and problem-solving abilities.
  • Familiarity with legal terminology.
  • Exceptional written and verbal communication skills.
  • Ability to interact courteously and effectively with clients and colleagues.
  • Capacity to interpret and follow instructions accurately.
  • Willingness to work core business hours with flexibility for additional hours as needed.
  • Advanced skills in formatting legal documents such as briefs and pleadings.
  • Knowledge of e-filing processes and Federal Court protocols.
Qualifications & Experience:
  • Preferred Associate's degree.
  • A minimum of five years of experience as a legal administrative assistant in a law firm setting, supporting multiple attorneys.
  • Ability to work under pressure and meet strict deadlines.
  • Experience in managing monthly client billing is preferred.
Technical Proficiency:

To excel in this role, candidates must be proficient in the following software:
