Position Overview:

The Administrative Assistant II role provides essential support to the P12 Program through various clerical and administrative responsibilities as designated.

Key Responsibilities:

  • Collaborate with the program director to oversee and maintain P12 Program budgets, ensuring accurate reconciliation.
  • Coordinate travel logistics, including flight bookings, hotel accommodations, and other necessary arrangements. Complete travel requests and expense documentation.
  • Collect and organize enrollment data on a daily basis, assisting in the creation of faculty load schedules each semester, including support for the department chair in schedule development. Submit workload through the appropriate system each semester.
  • Procure supplies for the program, events, marketing initiatives, and more.
  • Supervise and manage student workers.
  • Perform clerical tasks related to the program.
  • Execute additional duties as assigned.

Qualifications:

  • Associate's degree in a relevant field.
  • A minimum of two years of experience in an administrative assistant capacity.
  • Proficient in using computers, including both Windows and Apple systems.
  • Strong attention to detail, excellent communication abilities, and organizational skills.
  • Access to reliable transportation.
  • A Bachelor's degree in a related field is preferred.
  • Familiarity with essential software such as Microsoft Word, Excel, PowerPoint, OneDrive, Google Drive, Adobe Acrobat, and institutional systems like Banner, Argos, and Astra.
