Position Summary

The Manager of Center Operations at BY YOUR SIDE is dedicated to delivering an exceptional experience for parents and families involved in our services. This role ensures that all communications and documentation from parents and clinical staff are handled with precision and care. The Office Administrator serves as the primary contact for daily operational needs within the center.

Compensation: $55K-$65K based on experience

Key Responsibilities

The core responsibilities of this role include:

  • Enhancing Parent Experience
    • Deliver outstanding customer service by fostering strong relationships with families.
    • Act as a communication liaison for parental needs and clinical requirements.
    • Address any parent concerns or inquiries promptly.
    • Enforce policies related to attendance and therapy schedules.
  • Managing Intake and Enrollment
    • Oversee the intake process by auditing documentation and coordinating parent tours.
    • Collaborate with senior management on trends in intake and enrollment.
    • Ensure all necessary communication and documentation is collected for a seamless experience.
    • Review new parent paperwork to clarify policies and procedures.
  • Center Oversight
    • Maintain a visible presence during peak operational times.
    • Conduct audits of therapy and administrative spaces to ensure cleanliness and safety.
    • Standardize cleaning protocols and restock supplies as necessary.
  • Leadership and Supervision
    • Directly supervise the Scheduling Manager and Office Coordinator.
    • Address employee performance issues as needed.
    • Guide office staff to maintain a professional and efficient clinic environment.
  • Data Management and Reporting
    • Assist in generating weekly reports for management.
    • Monitor key performance metrics related to cancellations, utilization, and compliance.

Required Skills and Qualifications

  • Bachelor's degree preferred.
  • Minimum of 5 years of experience in clinic operations.
  • 5+ years of customer service experience.
  • 2-3 years of experience in training and developing staff.
  • 3+ years of supervisory experience.
  • Excellent verbal and written communication skills.
  • Strong interest in working with children on the autism spectrum.
  • Flexibility to work weekends and on-call as needed.
  • Ability to adapt to changing priorities and deadlines.
  • Strong analytical and problem-solving capabilities.
  • Reliable transportation for travel as required.
  • Effective time management and multitasking skills.
  • Proficiency in Microsoft Office Suite.
