Marine Systems Proposal Coordinator

As a vital member of Marotta Controls, you will oversee the management of proposals and contract documentation in collaboration with the Contracts Administration, Business Development, and Program Management teams. Your role will encompass the coordination and distribution of essential documents, organizing and scheduling team meetings, and serving as the primary contact for correspondence related to documentation requirements, compliance matrices, and formatting issues.
Key Responsibilities
- Administer large proposal responses from the initial receipt of qualified leads, RFIs, RFQs, or RFPs through to final submission.
- Assist in the development of proposal strategies, storyboards, win themes, and content.
- Create business development and project-specific presentations using Microsoft PowerPoint and various graphic tools.
- Coordinate proposal efforts with Subject Matter Experts (SMEs), Supply Chain, Contracts, Subcontractors, Finance, and Human Resources as necessary.
- Monitor the status of proposal development to ensure completeness, compliance with RFP requirements, and the inclusion of win themes and differentiators.
- Collaborate with Management, Sales, and Engineering to produce fully compliant and successful proposals.
- Manage the database for the initiation of Proposal/Quote Log-in and progress tracking.
- Oversee the proposal funnel/pipeline and forecast database, including the management and updating of quote and proposal trackers.
- Coordinate pricing meetings and secure internal approvals.
- Drive continuous improvement in the company's proposal process.
- Assemble the final deliverable quotation package, ensuring all required supporting data is included.
- Report on performance metrics related to proposal progress.
- Ensure timely delivery of proposal documents as per the Bid Manager's instructions.
- Lead research and analysis efforts for spare parts business opportunities.
Work Environment
- Occasional exposure to a typical manufacturing environment.
- Business office setting requiring the use of telephone and personal computer.
- Fast-paced office environment with high demands.
- Ability to work calmly and professionally under pressure to meet deadlines.
- Limited travel may be required.
