Position Summary

Position pending grant award. The Medical Case Aide will work closely with the Medical Coordination Team, Case Managers, Clinicians, and other Program staff in ensuring the delivery of Health Services per Office of Refugee Resettlement (ORR) Policy Guide Section 3.

The Medical Case Aide is responsible for assisting Medical Coordination Team, case managers, clinicians in coordinating the delivery of medical, mental health, and dental services to children in the care and custody of ORR. The Medical Case Aide is required to maintain a flexible, organized, and efficient work schedule and is subject to work extended hours, on-call schedules that include evenings, nights, weekends, and holidays.

Responsibilities

  • Participating in intakes and discharges of children and administering COVID-19 testing to minors in care upon admission and prior to discharge;
  • Responsible for taking temperatures of children, staff/visitors, providing COVID-19 screening questionnaires, and following all CDC and ORR Policy and Field Guidance for Programs related to COVID-19 standard precautions;
  • Educating foster parents in the timely completion of temperature logs and securing from foster parents temperature logs to upload them in the UC Portal;
  • Working supporting foster parents in answering questions related to medical care of children;
  • Completing medical folders and securing IME appointments, printing Authorizations for Medical, Mental Health, and Dental, and providing them to foster parents;
  • Supporting Medical Coordination team by attending IME appointments with children and supervising children during medical visits;
  • Collecting health records from Medical Providers and ensuring IMEs are thoroughly completed by ARNP/Physician and timely scanned/uploaded in the UC Portal;
  • Transporting children to and from medical appointments, providing child supervision during medical appointments, entering information in UC Portal Health Tab;
  • Ensuring proper uploads of all health records and medical documentation in files section of UC Portal, ensuring and complying with confidentiality of health records;
  • Making initial, follow-up, and wellness appointments with various medical providers, including medical, mental health, and dental;
  • Working closely with clinical counselors (clinicians) in timely obtaining mental health referrals and other various referrals to ensure the proper delivery of medical/mental health/dental services to minors in care;
  • Maintaining UC health files and records in secured location, communicating with external medical providers and pharmacies to ensure that health services are effectively delivered to children;
  • Completing and securing inventory of COVID-19 Test inventory (Rapid Antigen BinaxNow/PCR) and properly storing said inventory;
  • Ensuring DHS and ORR placement documents, including COVID-19 Checklist/Medical Summary Form (Border Transfers) or Medical Checklist for Transfers (Transfer cases), are timely filed and uploaded to UC portal;
  • Working with CQI team in identifying and addressing issues related to medical records, and timeliness of uploads;
  • Supporting Case Management Team in scanning/uploads of documents in the document section of the UC Portal to assist in reunification efforts;
  • Whenever appropriate, ensuring that medicine cabinets have up-to-date OTC medication and adequate inventory; and that first aid kit is available to first responders with up-to-date and sufficient inventory;
  • Providing training to staff related to delivery of medical services, including how to administer COVID-19 testing to children in care, and when appropriate to foster caregivers in the five rights of medication administration;
  • Ensure timely reporting of medical issues via SIR process to ORR and elevating issues of medical concern to the Division of Health for Unaccompanied Children (DHUC) for consultation and guidance;
  • Assisting in obtaining medical clearances from medical providers or DHUC;
  • Performing other duties as assigned by Medical Coordinator, Leads, or Administration.

Additional Responsibilities

  • Organized, works with a sense of urgency, and is a deadline-driven self-starter capable of juggling multiple priorities at once and executing each to completion despite obstacles;
  • Proficiency to easily listen to verbal communication and transcribe and translate that information into clear written error-free communication;
  • Demonstrated ability to maintain liaisons with community health providers and expand community health networks;
  • Demonstrated ability to service a diverse group of clients, to include refugees or other minority families;
  • Aptitude to work cross-functionally and deliver the highest quality of work under extreme pressure and in a fast-paced environment;
  • Ability to work independently and exercise a high level of confidentiality;
  • Proven experience and high level of comfortability operating technology and learning new software applications;
  • Proficiency in operation and maneuvering computers, laptops, smartphones, and knowledge use of social media, web chat;
  • Must have a valid driver's license, reliable transportation, automotive insurance, and a good driving record;
  • Proficient use of desktop and laptop computers, internet search, people management programs, smartphones, and tablets, printers, fax machines, and photocopiers as well as software including word processing, spreadsheet, and database programs;
  • Must possess a valid state driver's license and be eligible to drive to facilitate program services as required by contractual agreement;
  • Required to work a flexible schedule to facilitate program services, including working on-call schedules which includes weekends and evenings;
  • Cleared Level II background check from appropriate entity;
  • Must be at least 21 years of age at the time of hire;
  • Physical Demands:
  • Must be able to obtain Crisis Prevention Institute (CPI) certification and First Aid Certification (CPR). Must be able to supervise children indoors and outdoors as necessary. Bending, stooping, and lifting up to 15 lbs required to complete daily tasks;
  • Job requires extended periods of sitting; use of various office equipment.

Minimum Qualifications

  • HS Diploma; BA or BS Degree;
  • (4) four years' experience in a professional setting preferred;
  • Bilingual English/Spanish fluency required;
  • Results-oriented with demonstrated experience in strategic thinking, innovation, and flexibility in dealing with changing environments;
  • Stellar written, verbal, and interpersonal communication skills with the ability to communicate with all levels of the organization in a clear, timely, and effective manner;
  • Must have a valid driver's license, reliable transportation, automotive insurance, and a good driving record;
  • Minimum automobile insurance coverage of $100,000/300,000 bodily injury liability;
  • Proficient use of desktop and laptop computers, smartphones, and tablets, printers, fax machines, and photocopiers as well as software including word processing, spreadsheet, and database programs.
