Job Overview

SUMMARY OF FUNCTIONS

The Accounts Receivable Specialist is responsible for managing the payment processes for outstanding invoices. This role involves identifying accounts that are nearing or have surpassed their due dates, engaging with relevant personnel at client locations, and facilitating the collection of payments. Additional support for various accounting tasks may also be required.

KEY RESPONSIBILITIES

  • Oversee the posting of accounts receivable transactions and cash receipts into the financial system.
  • Prepare and manage bank deposits efficiently.
  • Assist in the creation of aging reports and handle collection activities as well as credit adjustments.
  • Conduct credit assessments using online resources, contacting credit references, and validating information provided.
  • Engage with clients regarding outstanding invoices to ensure all necessary documentation has been received, confirming payment timelines and offering various payment options.
  • Clarify purchase agreement details to affirm payment intentions and expedite the processing of outstanding invoices.
  • Investigate problematic accounts and collaborate with the accounting team to devise effective strategies for collecting overdue payments.
  • Maintain comprehensive records of all accounts receivable interactions, including contact dates, individuals spoken to, responses received, and follow-up schedules.

REPORTING STRUCTURE

This position reports directly to the Controller of the organization.

QUALIFICATIONS

A minimum of one year of relevant experience is required, preferably within an accounting department in a manufacturing environment. Strong communication skills and the ability to collaborate effectively with others are essential. Proficiency in accounting software and spreadsheet applications is necessary.

PHYSICAL REQUIREMENTS

The role necessitates effective oral communication with management and colleagues, both in individual settings and group discussions. Regular use of telephone and email communication is essential.

Extended periods of sitting are typical. Normal hearing, vision, and speaking abilities are required for effective communication, information reception, and document preparation or review.

While heavy lifting is not anticipated, occasional exertion of up to 10 lbs. may be necessary. Good manual dexterity is required for the operation of standard office equipment such as computers, calculators, copiers, and fax machines. Additionally, the ability to open and close standard business filing cabinets is necessary.

Strong reasoning skills are essential for addressing a variety of business challenges.

WORK ENVIRONMENT

This position is conducted in an indoor office environment, involving prolonged periods of sitting and extensive use of computer monitors and calculators.
