Key Responsibilities

Position Profile

This role encompasses operational functions in one or more of the following areas: managing high-volume duplication equipment, executing related copying tasks, operating high-capacity document imaging devices, and utilizing associated software.

Additionally, responsibilities include managing high-volume mail systems.

Tasks involve generating reports for digital printing, imaging, and mail systems in digital formats.

Responsibilities also include shipping and receiving products and supplies, sorting, distributing, and managing incoming and outgoing mail/faxes, as well as applying necessary postage.

Maintenance and repair of customer site equipment are also part of the role.

Other duties may include bindery, quality control, final checks, housekeeping, file services, and reception tasks.

Due to the advanced level of presentation and communication skills required for receptionist duties, employees in this role are classified as Senior On-Site Services Specialists.

This position reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on the site’s personnel structure.

Job Duties and Responsibilities

Operate high-volume copy machines and perform binding and finishing tasks.

Manage high-capacity document imaging systems.

Utilize document image handling software.

Employ MS Office and email systems for file management.

Open, save, and transfer PC files following established protocols.

Access document management systems according to established guidelines.

Ensure convenience copiers are functioning correctly through daily inspections.

Resolve paper jams and report specific issues to technicians.

Maintain records for management reports and inventory of supplies.

Distribute office supplies, fax transmissions, and mail to designated personnel or drop-off points.

Calculate job charges and maintain billing logs.

Respond to and coordinate all service requests from customers.

May perform filing duties based on specific customer needs.

Deliver completed jobs to designated customer locations.

Maintain daily meter and service logs.

Travel between customer facilities may be required.

Address customer inquiries regarding job status or feasibility.

Ensure the upkeep of convenience copier areas by maintaining cleanliness and stock.

Handle duties related to the shipping and receiving of materials.

Assist with meeting room and conference room setups.

May assist with building occupant relocations within assigned facilities.

May perform light maintenance tasks as assigned.

Occasional cleaning duties may be necessary.

Periodic overtime may be required, including nights and weekends for emergency responses.

Utilize various equipment such as shrink-wrap machines, paper cutters, and bindery tools to complete assigned tasks.

Employ all copier equipment, calculators, fax machines, postage meters, and some PC applications.

Conduct filing duties, which may include purging and archiving documents.

Perform additional duties as assigned.

Minimum Qualifications

Education, Experience, and Certifications

Typically requires a high school diploma or GED and 1-2 years of relevant experience or equivalent experience in a related field.

Prior experience in copy services is preferred.

A valid driver's license and minimum levels of auto insurance coverage may be required per client policy.

Knowledge, Skills, and Abilities

Excellent customer service skills.

Proficient PC skills.

Strong organizational skills with the ability to prioritize tasks.

Mathematical and filing skills.

Ability to operate office machines and technical equipment.

Working Conditions, Mental and Physical Demands

This role typically operates in an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.

Work assignments are diverse, requiring interpretation and application of complex materials, data, and instructions.

Some physical effort is required, including long periods of standing, walking, bending, reaching, and lifting or moving items weighing up to 50-55 lbs. Movement of machines weighing up to 700 lbs. may also be necessary.

Walking between buildings may be required.

Moderate dexterity is necessary for regular application of basic skills such as calculator use, keyboarding, and hand tools.
