About the Role

CoolSys is seeking a highly organized and detail-oriented Accounts Receivable Specialist to join our team. As a key member of our finance department, you will be responsible for reconciling invoices, paying vendors, and maintaining accurate records.

Key Responsibilities
  • Reconcile invoices against purchase orders and receipts of goods
  • Pay vendors by monitoring discount opportunities and resolving payment discrepancies
  • Maintain historical data and records
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Report sales taxes by calculating requirements on paid invoices
  • Prepare accruals for finance at month-end
  • Prepare analyses of accounts and produce monthly reports
  • Match, batch, and code invoices for daily data entry
  • Process all accounts payable invoices into the accounting system
  • Maintain basic knowledge of general ledger accounts and identify incorrect coding
  • Follow up on inquiries, issues, and outstanding invoices using effective communication
Requirements
  • Strong understanding of AP processes
  • Accurate data entry skills
  • Highly organized and attentive to detail
  • Good communication skills
  • Ability to maintain good vendor relationships
  • Ability to understand and follow all company policies and procedures
  • Strong customer service skills
  • Familiarity with and adherence to standard accounting principles and controls
  • Ability to use a 10-key computer board
  • Prioritize and maintain organization of high-volume workload
  • Proactive problem solver who works well with a team
Preferred Qualifications
  • College coursework in Accounting or related field
  • 1-3 years professional experience in Accounts Payable
  • Proficient with Microsoft Office Suite, including Excel, Outlook, and Word
  • Ability to learn quickly and work in a fast-paced environment
