Position Overview

We are seeking a dedicated and detail-oriented Project Coordinator to join our dynamic team at Steadfast, a family-oriented landscape construction firm. This role is essential for supporting our project managers and ensuring the smooth execution of various landscaping projects.

Key Responsibilities

  • Assist multiple Project Managers with daily communications, including correspondence and estimates.
  • Schedule and confirm job appointments efficiently.
  • Prepare and manage job work orders and project documentation.
  • Draft contracts, purchase orders, change orders, and subcontracts.
  • Review job cost reports in collaboration with Project Managers.
  • Process project-related accounts payable invoices and payments.
  • Gather relevant site and market information for bid preparation.
  • Ensure compliance with bid bond, insurance, and document review requirements.
  • Source subcontractors and suppliers to ensure best value.
  • Manage requests for information and special project requirements.
  • Oversee construction administration tasks, including submittals and plan revisions.

Qualifications

  • A minimum of 3 years of experience as a project administrator in commercial construction or a related field.
  • Experience in landscape, irrigation, and various commercial projects is preferred.
  • Strong leadership, communication, and interpersonal skills.
  • Proven ability to manage multiple projects with effective time management.
  • Proficiency in Microsoft Office Suite.
  • Detail-oriented with a strong problem-solving aptitude.
  • Excellent customer service skills and phone rapport.
  • Ability to work independently and as part of a team.

Additional Skills (Preferred)

  • Familiarity with QuickBooks, CAD, and digital take-off programs.
  • Knowledge of permitting processes.
  • Bi-lingual in Spanish is a plus.
