Job Title: Document Specialist

At MercyOne Home Care and Hospice, we are seeking a highly skilled and detail-oriented Document Specialist to join our team. As a key member of our billing department, you will play a critical role in ensuring the accuracy and compliance of our regulated billing documentation.

Job Summary:

The Document Specialist will be responsible for processing and verifying all regulated billing documentation, ensuring that it meets HCFA/MCC/JCAHO regulations and guidelines. This includes receiving and processing back-end documentation, tracking untimely documentation, and resolving problematic billing issues. You will work closely with our Business/Facilities Manager to ensure seamless communication and compliance with agency guidelines.

Key Responsibilities:
  1. Apply a current working knowledge of applicable Federal, State, and local laws and regulations, Trinity Health Organization Integrity Program, Code of Ethics, and other policies and procedures to ensure adherence in a manner that reflects honest, ethical, and professional behavior.
  2. Prepare and enter data into the appropriate software, ensuring the accuracy of regulated client accounts following all regulations placed on the homecare agency.
  3. Generate all billing documentation needed to bill in a timely manner, ensuring industry standards are met.
  4. Monitor and process the Billing Data Verification Report, On-Hold Billing Report, and Client Audit Report on a weekly basis to ensure timely and clean billing.
  5. Utilize the CQI Process Improvement technique to implement and monitor changes to processes, ensuring continued integrity of client accounts.
  6. Provide statistical feedback regarding the status of billing/accounts receivable to Business/Facilities Manager on a monthly basis or as defined by policy.
  7. Offer assistance to the Business/Facilities Manager in the training of new billing coordinators.
  8. Seek assistance of Clinical Team Leaders and/or Business/Facilities Manager with clinical data entry and/or billing problems.
  9. Coordinate the flow of billing-related paperwork between the branch and THHS centralized regulated billing department.
  10. Act independently and responsibly to perform duties on a consistent basis and in a timely manner.
Requirements:
  • Ability to articulate and demonstrate a commitment to the mission, vision, and values of Trinity Health and to inspire active support of these in others.
  • High school diploma or GED required.
  • College business courses or an Associate Degree is preferred, or one to two years of experience in a medical billing office setting.
  • A strong knowledge of general business office functions, strong analytical and organizational skills, and microcomputer usage is required.
  • Ability to meet strict deadlines with a high level of accuracy, ability to prioritize multiple tasks in a highly automated setting, and possess strong interpersonal skills.
  • Ability to consistently demonstrate commitment to the mission and Organizational Code of Ethics, and adhere to the Compliance Program.
