Job Title: Executive Secretary

We are seeking a highly organized and detail-oriented Executive Secretary to join our team at the Archdiocese of Philadelphia - Chancery Office.

Job Summary:

The Executive Secretary will provide administrative support to the Chancery Office, ensuring the smooth operation of daily tasks and projects. This role requires strong communication and interpersonal skills, as well as the ability to maintain confidentiality and work independently.

Key Responsibilities:
  • Prepare complex materials, such as marriage dispensations and beatification documentation
  • Process accounts payable, receivable, and invoices
  • Answer telephones, screen calls, and respond to emails
  • Schedule appointments and manage office supplies
  • Maintain filing systems and retrieve documents
  • Prepare reports and records from various materials
  • Coordinate information for the Official Catholic Directory
  • Liaise with other dioceses and offices
Requirements:
  • High school graduate with experience in working with people
  • Previous secretarial experience
  • Strong computer skills, including Microsoft Office Suite
  • Excellent oral and written communication skills
  • Ability to organize and update information efficiently
  • Ability to multi-task and meet deadlines
Working Conditions:

The Executive Secretary will work in a fast-paced office environment, with a focus on providing excellent customer service and support to the Chancery Office team.

This is a full-time position, Monday to Friday, 8:30 AM to 4:00 PM.

The successful candidate will be a team player, with a strong work ethic and a commitment to maintaining confidentiality and discretion.
