Job Summary:

As a Mailroom Coordinator at Randstad, you will play a vital role in ensuring the smooth operation of our office. Your primary responsibilities will include:

  • Invoice Processing: Verify and process invoices from vendors and suppliers, ensuring accuracy and timeliness.
  • Record Keeping: Maintain accurate records of all payments and expenditures, providing transparency and accountability.
  • Expense Reports: Handle employee expense reports and reimbursements, ensuring compliance with company policies.
  • Reconciliation: Ensure that accounts payable records match the company's bank statements and financial records, identifying and resolving any discrepancies.
  • Vendor Relations: Communicate with vendors to resolve any payment discrepancies or issues, fostering strong relationships.
  • Compliance: Ensure that payments comply with company policies and financial regulations, maintaining a high level of integrity.

Key Responsibilities:

  • Process invoices and payments in a timely and accurate manner.
  • Maintain accurate and up-to-date records of all payments and expenditures.
  • Handle employee expense reports and reimbursements, ensuring compliance with company policies.
  • Reconcile accounts payable records with bank statements and financial records.
  • Communicate with vendors to resolve any payment discrepancies or issues.

Requirements:

  • High school diploma or equivalent required.
  • 1-2 years of experience in a mailroom or administrative role.
  • Excellent communication and organizational skills.
  • Ability to work accurately and efficiently in a fast-paced environment.
  • Proficiency in Microsoft Office and other software applications.
