Position Summary:

The Credit and Collections Specialist will oversee all facets of the organization’s accounts receivable. Key responsibilities include evaluating customer credit applications, ensuring timely collection of outstanding invoices, reconciling customer deductions, and maintaining precise accounts receivable records.

Key Responsibilities:

  • Assess, investigate, and process new credit applications for approval or denial.
  • Regularly review credit limits and statuses using database tools to mitigate financial risks associated with existing accounts.
  • Establish and maintain customer file records.
  • Advise on accounts for collection, negotiate payment plans, and manage bankruptcy processes in collaboration with the Finance Manager.
  • Examine customer records for processing service charges.
  • Investigate and resolve billing discrepancies through effective communication with customers and sales teams.
  • Monitor open order status queues for hold orders and facilitate their release.
  • Process credit card transactions and manage online invoicing through customer portals.
  • Address and rectify remittance discrepancies.
  • Maintain tax documentation for tax-exempt customers.
  • Keep customer records updated electronically and assist with annual audit preparations.
  • Engage in local credit management networking groups.

  • Possess excellent verbal and written communication skills.
  • Be proficient in Microsoft Office Suite (Outlook, Excel, Word, etc.).

Supervisory Role:

This position does not include supervisory responsibilities.

Work Environment:

This role is primarily office-based, utilizing standard office equipment such as computers, phones, and printers.

Physical Requirements:

This is mainly a sedentary position, with occasional filing that may require lifting up to 20 pounds.

Travel Requirements:

Local travel may be necessary during business hours, with potential for occasional overnight travel. A valid driver's license is required.

Qualifications:

  • High School Diploma or equivalent is mandatory.
  • A minimum of five years' experience in accounts receivable is preferred.

Additional Responsibilities:

  • Provide backup support for the Accounts Receivable Specialist.
  • Assist the manager or team members as needed.
