General Summary: The Park Operations Coordinator serves as the essential administrative support for the Operations department at Audubon Park. This role is primarily office-based and operates on a standard Monday to Friday schedule. Responsibilities include managing administrative tasks such as responding to inquiries, processing park permits, and sending confirmations and reminders. While the primary duties are office-oriented, the Coordinator may also assist with significant event productions in the park during weekends.
Key Responsibilities:
- Provide exceptional guest experiences.
- Coordinate park events, including races and shelter rentals, by:
- Responding to permit inquiries in a courteous and timely manner.
- Ensuring all necessary documentation is accurately completed.
- Processing permits and sales transactions in line with departmental policies.
- Issuing precise confirmations with all relevant event details.
- Communicating park amenities, services, rules, and policies effectively.
- Compile and disseminate internal event communications, including calendars and event orders.
- Assess the permitting process for potential enhancements based on guest feedback.
- Support internal communications and requests, including submitting work orders and updates to department heads.
Educational Outreach:
- Act as a resource for current and prospective park users by answering questions about the property and programs offered.
- Assist users in understanding available spaces for recreation.
- Direct inquiries to appropriate recreation partners as needed.
Financial Operations:
- Complete permit and sales processing in the department's point-of-sale system.
- Generate financial documents, including receipts and invoices, ensuring full payment for services rendered.
Service Commitment:
- Exhibit a welcoming demeanor by making eye contact and offering friendly greetings.
- Maintain a positive attitude and coach colleagues on service expectations.
- Inspire others by seeking answers to questions and maintaining a professional work environment.
Qualifications:
- Customer service experience is preferred.
- Point-of-sale experience is preferred.
- High school diploma required; college education preferred.
- State-issued driver's license required.
- Proficient in Microsoft Word and Excel; familiarity with point-of-sale systems is preferred.
Physical Requirements:
- Ability to exert up to 20 pounds of force occasionally.
- Capability to sit or stand for extended periods, with occasional walking or bending.
- Regular mobility and range of motion are required.
Environmental Conditions:
- Ability to work under stress and handle various noise levels.
- Frequent interaction with coworkers is necessary.
- Exposure to outdoor conditions may be required.
