Your role will involve greeting clients, visitors, and colleagues, managing phone and email communications, sorting and distributing mail, scheduling appointments, arranging travel plans, and supporting various operational tasks as required.
The ideal candidate will possess excellent communication skills, a strong work ethic, and a desire to contribute meaningfully to a collaborative team environment.
Key Responsibilities
- Handle incoming phone calls and emails, ensuring that essential information reaches the appropriate personnel.
- Welcome clients, visitors, and team members at the front desk, providing necessary guidance and information.
- Maintain building security by ensuring visitors adhere to sign-in protocols.
- Coordinate appointments for staff and keep the scheduling calendar current.
- Perform additional administrative tasks as needed, including data entry, documentation, photocopying, and more.
- Manage incoming and outgoing mail effectively and oversee deliveries.
Required Qualifications
- Experience in handling phone communications and managing high-pressure situations.
- A minimum of one year in a receptionist or administrative support role, or a similar position is preferred.
- Proficient in Microsoft Office and basic computer operations.
- High school diploma, G.E.D., or equivalent educational background is required.
- Exceptional interpersonal, time management, organizational, and customer service abilities.
