Job Title: Office Coordinator

Job Summary:

Auld & White Constructors is seeking a highly organized and detail-oriented Office Coordinator to manage the daily operations across our two office buildings. As a key member of our team, you will play a crucial role in ensuring the smooth running of the office, from front desk reception to supply management.

Key Responsibilities:

  • Provide comprehensive operational support to ensure the efficient running of the office.
  • Execute front desk responsibilities, including greeting visitors, answering the phone, and routing calls.
  • Keep the reception desk and front lobby clean, organized, and professional.
  • Stock and provide light housekeeping as needed in all common areas.
  • Monitor and order supplies in accordance with budgetary restrictions.
  • Address maintenance needs in partnership with the Controller.
  • Manage the conference room calendar to ensure efficiency and troubleshoot scheduling conflicts.
  • Assist with coordination of meetings and training sessions, including catering and room setup/clean up.
  • Receive, stamp, and distribute incoming mail and deliveries in a timely manner.
  • Post outgoing mail and send packages via courier service.
  • Provide other administrative support as requested.

Requirements:

  • High school diploma or equivalent.
  • 2-3 years of experience in a similar administrative role.
