SUMMARY
The Senior Manager is tasked with overseeing the management of the retirement plans, investment portfolios, and insurance policies for partners.
KEY RESPONSIBILITIES include, but are not limited to:
- Collaborate with actuaries, investment consultants, trustees, record-keepers, auditors, and members of the Investment Committee to evaluate plan assets and adjust the asset portfolio as necessary.
- Facilitate defined benefit pension calculations and annual cost-of-living adjustments, as well as manage defined contribution distributions and required minimum distributions for partners' retirement plans; provide retirement planning projections for partners under various investment return and inflation scenarios.
- Partner with Information Technology to oversee the annual contribution process for the Defined Contribution Plan.
- Create, revise, and maintain communication materials, including plan documents, summary plan descriptions, annual medical premium letters for retirees, orientation materials for new partners, and benefit memos for both new and retiring partners.
- Coordinate the preparation and review of Form 5500s and Summary Annual Reports for retirement and health & welfare plans, ensuring timely compliance with IRS, DOL, and other regulatory requirements.
- Liaise with Partner Accounts, Taxation, Fiduciary Accounts, Information Technology, Payroll, and Finance departments within the organization.
- Serve as the internal expert on partners' retirement and investment plans, addressing inquiries from partners, their beneficiaries, attorneys, consultants, financial planners, and plan record-keepers regarding plan provisions and regulatory requirements.
- Work with ERISA counsel on complex administrative issues, compliance matters, plan modifications, and the execution of plan amendments, including the administration of qualified domestic relations orders (QDROs).
- Prepare documentation for new investments in partners' retirement plans, collaborating closely with internal legal counsel on document reviews.
- Develop and oversee internal reporting for plans and plan audits, acting as the primary contact for annual employee benefit plan audits and approving management representation letters.
- Maintain a proactive compliance calendar to ensure timely completion of all regulatory tasks and project deadlines.
- Manage capital calls for alternative investments within the retirement plans.
- Reconcile contributions and distributions related to alternative investments, ensuring compliance with scheduled transactions by the plan record-keeper.
- Implement policies and monitor directives from the Investment Committee; assist in preparing Committee presentations and agendas; coordinate with the Committee Chair to schedule attendees and review their presentations for optimal efficiency. Document Committee minutes.
- Organize Annual Partner Benefit Statements and Annual Valuations for Defined Contribution Plans.
- Compile investment performance and contribution data as required for the Annual Partners' Meeting.
- Draft the annual budget for vendors and consultants associated with the Firm's retirement plans.
- Oversee the renewal of Fiduciary Liability Insurance and the Group Excess Liability Insurance Plan; assist participants with inquiries regarding these plans.
This includes compliance with the firm's information security policies, safeguarding firm assets from unauthorized access, disclosure, modification, destruction, or interference, and reporting any security incidents or potential risks to management.
QUALIFICATIONS
- Minimum of 5 years of experience in plan administration, specifically with defined benefit and defined contribution plans; familiarity with 415(b) calculations is preferred.
- Comprehensive understanding of relevant ERISA, IRS, and DOL regulations.
- Demonstrated leadership skills, along with strong written and verbal communication abilities.
- Capacity to interact effectively with individuals at all levels within the organization.
- Proven ability to manage confidential and sensitive information with discretion.
- Previous experience in a law firm or partnership setting is advantageous.
- Proficient in HRIS systems and data transmission; knowledge of PeopleSoft is a plus.
- Strong command of MS Office applications, including Word, Excel, and PowerPoint.
EDUCATION and/or EXPERIENCE
A Bachelor's degree is required, preferably with a concentration in actuarial science, accounting, or a related business field.

The base salary for this position is anticipated to be between $150,000 and $250,000.
