Job Summary:

We are seeking a highly skilled and detail-oriented individual to join our team as a Customer Service Representative/Project Coordinator at ARC Document Solutions. This role involves delivering exceptional customer service while providing coordination support for various projects.

Key Responsibilities:

  • Customer Service:
    • Greet customers in a professional manner, both in-person and over the phone.
    • Process work orders received through various channels, including electronic and hard copy.
    • Provide accurate information to customers regarding our products, processes, and production turnaround times.
    • Identify opportunities to upsell add-on services or new merchandise to existing and previous customers.
  • Project Coordination:
    • Enter job details into our computer system and ensure accurate billing information.
    • Examine original hard copy documents for completeness and quality defects.
    • Collaborate with the Production Manager to address any issues or concerns with orders.
    • Consult with the Estimator regarding costs and communicate this information effectively to customers.
    • Coordinate the routing of supplies and materials to work areas to initiate production.
    • Monitor the progress of job orders throughout the production process and keep customers informed of their status.
    • Collaborate with various departments, including production, sales, shipping, and warehouse, to expedite or trace shipments as needed.
  • Requirements:
    • High school diploma or equivalent; additional education or training is a plus.
    • Proven experience in customer service or a related field.
    • Strong interpersonal and communication skills.
    • Ability to multitask and prioritize tasks in a fast-paced environment.
    • Proficiency in computer systems and software applications.
    • Detail-oriented with excellent problem-solving abilities.
    • Ability to work independently as well as part of a team.
