Job Summary:
The Operations Administrator plays a vital role in ensuring the smooth operation of our administrative, scheduling, and clerical functions. This position is responsible for coordinating leads, installations, customer services, management reports, and accounting functions, among other tasks.
Key Responsibilities:
- Execute the "JUMP" program to maintain customer communication throughout the project
- Act as the primary point of contact for customers, handling questions and problems
- Keep customers informed with timely and frequent updates on project progress
- Facilitate customer resolutions by bringing together relevant personnel
- Maintain the Production Log
- Review new contracts for accuracy and completeness, ensuring timely booking
- Handle ATCs and cancellations
- Manage accounting functions, including A/R, A/P, and financial paperwork
- Process employee personnel and payroll information
- Perform other duties as assigned
Requirements:
- Minimum two years' experience in customer/client services, call center, help desk, or related industries
- Strong problem-solving skills and proficiency in technology
- Excellent organizational skills and ability to think on your feet
- Proactive approach to managing customer interactions and expectations
- Ability to work collaboratively to provide customer win-win solutions
- Strong business sense and judgment
Performance Expectations:
- Resolve customer issues within 24 hours or less
- Execute the JUMP program with 100% success
- Achieve a net score of 90% or better in customer service surveys
- Secure online reviews for 10% of all installed jobs
