Job Summary:

The Procurement Field Support Coordinator plays a pivotal role in supporting the Procurement goals at ArchWell Health, with a primary focus on timely program implementation during the setup of new ArchWell Health centers.

This role is responsible for providing field support to staff to ensure successful startup, conducting supply setup, and staff support. The Procurement Field Support Coordinator will work closely with all departments to address the ongoing and new needs of the organization.

The ideal candidate will be a quick learner, self-starter, and strong communicator who builds relationships quickly and is passionate about working in a fast-paced, results-driven healthcare organization with a continuous improvement mindset.

This role will have significant travel requirements, with an estimated 60%+ of time spent on the road.

Duties/Responsibilities:
  • Coordinate new Center setup, including the installation of supplies, equipment, and furniture.
  • Assist the Procurement Specialist and other Procurement colleagues with all Center setup details.
  • Develop a deep understanding of formulary and equipment to support Center setup and ongoing Center needs.
  • Collaborate with internal staff and outside vendors to accomplish department and organizational objectives and deadlines.
  • Solve problems and work to a strict schedule to ensure Centers adhere to their opening schedule.
  • Assist with manual setup of centers, including breaking down boxes, removing trash, and disposing of all waste to dumpsters as needed.
  • Work with minimal supervision and clearly communicate the status of construction and setup tasks.
  • Align with the needs of the Centers and ensure they are properly outfitted by opening day.
  • Work closely with Construction, Development, and Market Enablement Teams to coordinate travel plans, setup timeframe, and installation of furniture and supplies.
  • Apply knowledge of ERP Systems and process flows to check on the status of orders and communicate clearly to Center staff.
  • Assist in solving discrepancies in invoicing and receiving.
  • Provide daily support for Centers, including operations, finance, and other departments.
  • Assist in communication and planning with all departments.
  • Other responsibilities as assigned.
Required Skills/Abilities:
  • Clear communication skills with colleagues and stakeholders of all levels.
  • Able to understand complex problems and resolve discrepancies with vendors and accounting.
  • Ability to connect with others, identify their needs, and drive toward problem-solving and solutions.
  • Consistent follow-up and project completion skills with minimal oversight.
  • Exceptional organization skills while working on many different projects with varying deadlines.

  • Great presentation skills.
  • Strong analytical and conceptual skills.
  • Able to lift up to 60 lbs.
  • Ability to travel 60% on a regular basis, with travel up to 80% at peak times.
Minimum Qualifications:
  • Bachelor's Degree in Business or related field required.
  • 1-2 years of experience in procurement, logistics, project management, or healthcare strongly preferred.
  • Active, valid drivers' license.
