The Guest Service Representative is responsible for executing all front desk operations in alignment with company policies and procedures. This role includes assisting guests with inquiries and various needs throughout their registration, stay, and checkout processes.

Key Responsibilities

  • Deliver exceptional guest service while treating colleagues with respect.
  • Welcome guests and manage check-in and check-out processes using the property management system (PMS). Ensure all necessary procedures for guest registration are completed accurately.
  • Possess comprehensive knowledge of the hotel and its amenities, including local attractions, dining options, shopping venues, and provide solutions to guest complaints or concerns.
  • Utilize the phone system with proper etiquette, manage calls, take messages accurately, and document time and dates, including making guest wake-up calls.
  • Handle cash transactions with precision, ensuring accurate counting and change for guests. Balance cash drawer and shift deposits.
  • Adhere to all safety and security protocols.
  • Conduct regular inspections of hotel floors, stairwells, and exterior doors to ensure security and address any safety concerns.
  • Promote the Stay Rewarded Loyalty Program.
  • Be familiar with room rates, locations, and furnishings of all accommodations, including ADA accessible options.
  • Process reservations received via telephone, computer, mail, fax, and in-person, ensuring accurate data entry into the property management system.
  • Stay informed on all updates regarding hotel operations or policies by reviewing memos and participating in meetings as required.
  • Secure the front desk area when necessary and carry a portable phone for emergencies.
  • Maintain cleanliness of entrances and sidewalks, ensuring they are free of snow and ice.
  • Deliver additional guest supplies, such as towels and soap, to rooms upon request.
  • Keep the front desk area and lobby clean, organized, and well-stocked at all times.
  • Prepare coffee and maintain the coffee bar area.
  • Issue master keys and key cards to housekeeping and maintenance staff as directed, maintaining accurate logs and daily counts.
  • Assist with cleaning guest rooms when occupancy is high or when housekeeping staff is unavailable.
  • Manage laundry tasks, including washing, drying, folding, and maintaining cleanliness in the laundry area.

Qualifications

  • Basic computer proficiency, including Microsoft Office.
  • Strong written and verbal communication skills.
