Summary/Objective
- The Sales Administrative Coordinator is responsible for a range of business development and administrative functions that support the efficient operation and expansion of the branch. This role directly reports to the General Manager.
Required Education and Experience
- A high school diploma or GED is required; college education is preferred.
- Demonstrated experience in an office support role or as an office manager.
Key Responsibilities
The responsibilities of the Sales Administrative Coordinator include, but are not limited to:
- Streamlining office operations and assisting team members to enhance processes and performance.
- Business Development - Nurtures existing partnerships and cultivates new business connections with local healthcare providers, contractors, real estate agents, property managers, etc., primarily through outbound communication. Anticipate spending over 6 hours daily on calls.
- Follow up on current clients and explore new business opportunities.
- Timely review, sorting, and distribution of communications.
- Maintain and update records in company systems (e.g., NetSuite, Encircle, Dropbox) ensuring accuracy and reliability of information.
- Coordinate and schedule client meetings.
- Monitor inventory levels and manage supply shortages.
- Collaborate with other departments to ensure adherence to established policies.
- Arrange travel by securing accommodations and reservations as necessary.
- Handle phone inquiries, address customer questions, direct calls to the appropriate personnel, and take messages.
- Prepare contracts, forms, and reports based on verbal or written instructions.
- Manage calendars and organize appointments.
- Perform additional related duties as assigned.
Competencies / Proficiencies:
- Experience in an office assistant role or a related field.
- Familiarity with back-office computer systems (ERP software).
- Proficient in using office equipment and software systems.
- Comprehensive understanding of office management practices.
- Exceptional interpersonal and customer service abilities.
- Strong organizational skills and attention to detail.
- Effective time management skills with a proven ability to meet deadlines.
- Analytical skills and problem-solving aptitude.
- Friendly demeanor with excellent written and verbal communication skills.
- Valid driver's license.

Position Type/Expected Hours of Work
This is an hourly position. Standard working hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Alternative schedules may be required as needed.

The hourly wage ranges from $18.00 to $25.00, depending on experience.
Supervision
This position includes supervisory responsibilities.
