The Technology Procurement Specialist will oversee the procurement process, which includes detailed inventory oversight, order processing, and fostering robust vendor relationships to meet the evolving needs of the IT department.

Key Responsibilities:

  • Manage the ordering process for sanctioned IT equipment and software, ensuring compliance with delivery schedules and user specifications.
  • Stay informed about company equipment and licensing policies, questioning any non-standard requests.
  • Oversee inventory management to guarantee that standard items are adequately stocked; work with management to maintain optimal stock levels.
  • Address requests concerning external contractors, including documentation and changes in employee status such as new hires and separations.
  • Track hardware and software inventory assigned to users and ensure the return of equipment upon user departure.
  • Acquire, order, and label hardware/software for new personnel, collaborating with managers for any necessary clarifications.
Software Licensing Management:
  • Evaluate and compare renewal costs against previous contracts, alerting business stakeholders of any discrepancies and securing necessary approvals.
  • Assist in managing software licenses, including balancing, true-ups, and audits.
  • Lead the annual renewal initiative, strategizing to complete tasks for each renewal cycle.
  • Compile and present a summary list for monthly Technology Acquisition Planning sessions (TAPS), including relevant stakeholders and details to facilitate discussions.
  • Maintain a reserve of standard licenses to support organizational growth and immediate requirements.
Additional Duties:
  • Provide support to IT managers and teams with monthly reporting, research, and other administrative tasks.
  • Process routine documentation and update vendor records.
  • Perform other responsibilities as assigned by the IT department.
Qualifications:
  • Minimum of 3 years of experience in IT procurement is preferred.
  • Bachelor's degree in business, IT, or a related field.
  • Demonstrated experience in IT procurement, with a solid understanding of inventory and vendor management.
  • Strong organizational and communication skills, capable of managing multiple tasks effectively.
  • Proficient in procurement software tools.
