Position Overview

KEY RESPONSIBILITIES:
  • Oversee the daily functions of a team of Pre-Award Specialists.
  • Assess workload distribution and communicate any issues to the Research Administration Services (RAS) Director.
  • Provide mentorship and support to team members as needed.
  • Collaborate with the RAS Director on pre-award initiatives, problem-solving, and workload management.
  • Partner with the Post-Award team lead to organize inter-team meetings that promote collaboration between pre-award and post-award teams.
  • Manage pre-award processes for a designated portfolio of grants and contracts within a RAS unit, utilizing expertise in grant and contract management regulations.
  • Direct daily operations and objectives in alignment with the assigned portfolio.
  • Contribute insights and ideas relevant to responsibilities as part of a cross-functional team.
  • Ensure efficient workflow and compliance with quality standards for both staff and self.
  • Conduct pre-award activities for a specific unit within a RAS unit.
  • Pre-award tasks include assisting faculty/Principal Investigators (PIs) in the development, preparation, and submission of grant and contract proposals.
  • Guarantee that all applications adhere to agency and university guidelines, including management of the Just-In-Time process.
  • Ensure timely entry and routing of proposals for further evaluation.
  • Collaborate with PIs and pre-award support staff at partner institutions to gather necessary sub-award documentation for proposals.
  • Assist PIs in formulating budgets and justifications, ensuring accuracy and consistency.
  • Review budgets for alignment with sponsor requirements and compliance with agency and university regulations.
  • Advise PIs on administrative requirements for proposal submissions and necessary budget adjustments to meet sponsor criteria.
  • Coordinate and review specific proposal components (biosketches, facilities & resources) for accuracy and completeness.
  • Evaluate proposals for compliance with sponsor guidelines regarding budget, format, and page limits.
  • Facilitate the proposal process through the routing system in accordance with university procedures.
  • Obtain necessary signatures as required.
  • Monitor proposal progress and inform PIs of research protection protocol requirements and deadlines.
  • Collaborate effectively with various offices (central, school, departments, divisions) on research proposals.
  • Perform additional responsibilities as needed.

MINIMUM QUALIFICATIONS:
  • A Bachelor's degree with five years of relevant experience in grants and contracts OR an equivalent combination of education and experience.
  • Familiarity with federal regulations related to research grant and contract activities.
  • Proficiency in MS Office Suite software.

NOTE: This position allows for regular remote work, but candidates must be able to commute as needed based on business requirements. Residency in the state of GA is required. Emory University reserves the right to modify remote work arrangements with appropriate notice.
