Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Grants and Contracts Specialist at the University of Texas at Austin. As a key member of our research administration team, you will be responsible for providing high-level support to the Department of Neuroscience and associated organized research units.

Key Responsibilities
  • Proposal Development and Submission: Assist the Senior Grants & Contracts Specialist and departmental researchers with the development and preparation of proposals for submission to federal and state agencies, as well as private foundations. Coordinate with the Office of Sponsored Projects to ensure timely and accurate proposal submission, review, and final approval.
  • Grant Management: Review sponsor guidelines to ensure eligibility for submission and compliance of proposal documents, such as budgets, justifications, bio-sketches, and other necessary forms. Assist researchers with additional sponsor information, including JIT requests, review of PI support documents for compliance, and documentation of adherence to institutional, federal, and state requirements for research performance.
  • Account Reconciliation and Reporting: Reconcile all research grant accounts monthly to ensure compliance with cost expenditure regulations and prepare reports for the Assistant Director. Manage account transfers and transaction corrections.
  • Support to Departmental Researchers: Provide high-level support to departmental researchers, including assistance with proposal development, submission, and management. Utilize internal and/or external systems associated with electronic proposal and subcontract submissions, including troubleshooting issues with systems as needed.
Requirements
  • Education: Bachelor's degree. Relevant education and experience may be substituted as appropriate.
  • Experience: Demonstrated ability to work as a member of a team in a high-volume office with multiple deadlines. Excellent oral and written communication skills. Prior experience within UT Austin administration.
  • Preferred Qualifications: Experience composing strategic communications and copy-editing. Successful record of managing large-scale, complex projects with competing deadlines accurately and in a timely manner. Experience working with UT Austin policies, systems, and procedures. Experience with proposal submission, grant management, and post-award administration.
Working Conditions

May work around standard office conditions. Repetitive use of a keyboard at a workstation.
