Job Overview

Position Summary

The Invoice Reconciliation Specialist is accountable for ensuring the accuracy of invoice processing and maintaining effective cost control measures. This role is crucial for tracking contract compliance and generating precise plant accounting reports.

Key Responsibilities

  • Reconciles and processes contract invoices to facilitate payment approvals and supports contract modifications and closures.
  • Develops and sustains tracking systems tailored to contract deliverables.
  • Initiates, submits, and monitors requisitions.
  • Creates supplementary tasks for ongoing work orders.
  • Prepares blanket contracts to purchase orders in Synergen for invoice processing.
  • Reviews work orders to finalize completed tasks in Synergen.
  • Assists in tracking departmental and engineering projects.
  • Reconciles contracts with retention clauses, ensuring fund availability, compliance with approvals, and posting of releases as necessary.
  • Coordinates the preparation of monthly and year-end accruals for designated projects.
  • Maintains comprehensive contract files, including all incoming and outgoing contracts received from Supply Management.
  • Conducts contractor orientation and Lock Out Tag Out (LOTO) training.
  • Ensures timely review and processing of vendor invoices.
  • Adopts a proactive stance on personal and workplace safety, adhering to all OSHA and SECI safety regulations. Completion of required safety training is mandatory.
  • Complies with environmental regulations governing plant operations and reports any environmental incidents immediately.
  • Engages in NERC Compliance Program responsibilities as assigned, ensuring evidence retention in an audit-ready format.
  • Performs additional duties as assigned or applicable to the role.

Qualifications and Educational Background

A High School diploma is required; an Associate's degree in business, accounting, or a related field is preferred. Equivalent experience of five (5) years may substitute for formal education.

Physical Requirements

Must adhere to established safety protocols, including the use of personal protective equipment (PPE). A valid driver's license and a satisfactory Motor Vehicle Report are required.

Work Environment

This position typically operates in an office setting. However, there may be exposure to industrial hazards in certain areas of the plant. Flexibility to work extended hours or weekends may be necessary to meet project deadlines.
