POSITION SUMMARY
The Executive Assistant is essential in ensuring the smooth operation of executive leadership at Metrc. This role encompasses a variety of administrative responsibilities, including managing executive schedules and fostering effective communication among executives and stakeholders. The ideal candidate will exhibit outstanding organizational abilities, professionalism, and discretion, with a strong capacity to manage sensitive information confidentially.
PRIMARY RESPONSIBILITIES
Key responsibilities include:
- Upholding Metrc's Leadership Principles.
- Providing comprehensive administrative support, including drafting emails, memos, and other communications on behalf of executives.
- Coordinating meetings, travel arrangements, and handling correspondence for the executive team.
- Maintaining accurate corporate records, presentations, documents, and reports.
- Performing basic accounting and bookkeeping tasks.
- Organizing meetings, including scheduling, sending reminders, and arranging catering as needed.
- Answering incoming calls professionally and accurately relaying messages.
- Welcoming visitors and directing them to the appropriate departments.
- Managing the executive's calendar, prioritizing appointments and sensitive matters.
- Handling confidential information with the highest level of discretion.
- Coordinating travel logistics and creating detailed itineraries.
- Utilizing various software applications, including word processing, spreadsheets, and presentation tools to prepare reports and special projects.
- Demonstrating professionalism in all interactions and maintaining integrity.
- Proactively building positive relationships, anticipating needs, and addressing concerns to enhance collaboration and efficiency.
- Performing additional duties as assigned.
QUALIFICATIONS AND SKILLS
- 2-3 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
- Exceptional time management skills and ability to meet deadlines.
- Strong verbal and written communication abilities.
- Well-developed organizational skills with the capacity to multitask.
- Effective problem-solving and decision-making skills.
- Ability to act as a gatekeeper and escalate pertinent information to executives as necessary.
- Proficiency in standard office equipment usage.
- Capability to work independently with minimal supervision.
- Strong interpersonal skills and a high level of professionalism.
- Meticulous attention to detail.
- Familiarity with Microsoft Office Suite and other relevant software is advantageous.
- Relevant educational background or equivalent experience is preferred.
WORK ENVIRONMENT
- This is an in-office position, typically requiring attendance four days a week or more based on executive needs.
- Frequent sitting and communication are required.
- Visual acuity is necessary for operating equipment and reading technical documents.
- Must be able to lift up to 15 pounds occasionally.
