Job Summary

Under the supervision of a supervisor, this role contributes to patient care by performing clerical and non-professional tasks directly and indirectly related to patient care and unit functioning. The successful candidate will be responsible and accountable for tasks delegated.

Key Responsibilities
  • Answer phone calls on the unit and manage them appropriately. Take phone reports from Lab, Diagnostic Imaging, and other Departments accurately, and deliver to the proper nurse. Call and schedule clinic appointments for patients who need help, when directed by RN/LPN. Refer all calls from physicians to the appropriate nursing staff.
  • Use systems to assist with the processing of orders. Verify ADT information. Use a manual system when the computer is down.
  • Answer PTS and keep the station ready and available. Retrieve meds and supplies and deliver to the proper place/person. Report maintenance problems immediately.
  • Use systems to support nursing and unit staff. Use a manual system when the computer is down.
  • Maintain inventory of Unit supplies. Order non-stock items as directed. Order stock items to maintain par level. Transport/arrange for transport of supplies and equipment between Units or Departments as needed.
  • Support the unit during computer downtime. Obtain a downtime kit as appropriate.
  • Xerox and process charts and other documents as directed by Supervisor or RN.
  • Communicate ADT information to Admitting Department and Shift Supervisor/Bed Control.
  • Answer the nurse call console and refer patient calls to the appropriate person. Pick-up blood/blood products from Lab as directed by RN. Pick-up non-controlled medications from Pharmacy. Pick-up supplies/equipment from other Departments.
  • Call acuity forecast to Staffing Office by designated times. Tallies and completes daily Acuity Sheets. Call updated acuity. Complete additional tasks on individual Units per standards/procedures or Supervisor instructions.
  • Use systems to assist physicians. During computer downtime, transcribe physicians orders to the appropriate medical record and other forms accurately. Complete request forms/orders entry for diagnostic tests, consultations, referrals. Schedule special tests with in-house and outside agencies and document appointment. Make arrangements for patient transport to outside agencies and departments.
  • Function with awareness of and apply safety principles/standards as defined by Hospital, including environmental and employee issues. Report incidents, work-related injuries, unsafe equipment or environment to supervisor or other appropriate person.
  • Function with awareness of and apply infection control principles/standards as defined by Hospital. Keep the work area neat, clean, and orderly.
  • Maintain confidentiality of patient/hospital information.
  • Transmit messages and other pertinent information to the appropriate staff members. Pick-up, sort, and deliver Unit and patient mail.
  • Follow Nursing Department/Unit specific standards/policies/procedures/protocols/guidelines.
  • Remain calm in emergency patient care/unit situations.
  • Complete required in-services annually. Participate in orientation of new clerical staff.
Requirements
  • Basic Life Support from American Heart Association
  • Type 30 wpm
  • Demonstrated knowledge of and skill in conflict resolution, decision making, customer service, influence, interpersonal relations, oral communication, problem solving, teamwork, written communication, organizational skills, time management, and initiative
  • Talking to co-workers, customers, outside vendors, and on the telephone
  • Reading, writing, speaking, and understanding English
  • Training/giving and receiving instructions
  • Mathematical ability, attention to detail (e.g. organization, prioritization, proofing), concentration, and alertness
Preferred Qualifications
  • Experience in transcribing physicians orders, computer skills, setting up and maintaining file systems
  • Post high school coursework in commercial or vocational secretarial science
