Job Overview:
Omni Hotels & Resorts is looking for a Sales Support Specialist for the Omni Austin Hotel Downtown.

This role involves providing essential support to the Sales Department.

Assist the Director of Sales and designated Sales Managers with daily operations and ensure effective communication in their absence.


Key Responsibilities:
1. Maintain the database consistently to fulfill the property’s business needs and adhere to company-wide database standards.


2. Communicate guestroom block requests and modifications to the Reservations Department or Group Rooms Coordinator; ensure accurate updates of guestroom room pickup in the system.

3. Implement Omni Hotels' established procedures for tracking and monitoring tentative business and reporting lost, canceled, and turndown business.

4. Generate and review daily booking transaction reports to stay informed about new, updated, and lost business.


5. Collaborate closely with the Manager of Sales Systems to monitor and audit the database of accounts, contacts, profiles, leads, and activities to ensure adherence to established database standards and promote quality across the system for accurate reporting.


6. Maintain and update plan values in the system, including: Transient Protected, Group Rooms Budget (Rooms and Rates), and Minimum Acceptable Rate (MAR).


7. Coordinate the application of Word merge forms and provide support to sales, catering, and conference services administrative staff to ensure efficient use of merge documents.

8. Prepare and distribute daily, weekly, monthly, and quarterly sales and marketing reports to sales staff, directors, owners, and the Corporate Office, including:

Group bookings pace, group, catering, and sales production metrics (where applicable).


9. Provide reports as requested by the Director of Sales and Marketing, Director of Sales, Director of Catering, Director of Conference Services, and/or other departments.

10. Maintain folders for and master copies of monthly reports for reference.


11. Work closely with IT staff and vendors to troubleshoot software/database issues to determine if it is user error, program functionality, or hardware functionality.

12. Assist in evaluating software and database requirements, limitations, and functionality, and report enhancement needs to the Manager of Sales Systems.


13. Train and support new employees on the database application, follow up with training on Omni Hotels standards, and implement new database features, standards, and procedures on an ongoing basis, collaborating closely with all sales, catering, and conference services users.


14. Ensure that there is at least one fully trained backup for the Market Research Coordinator position at all times.


15. Communicate regularly with the Manager of Sales Systems regarding database issues, changes, questions, and updates, and report new database users for addition or users for removal to the Manager of Sales Systems.


16. Keep all system manuals and standard operating procedures up-to-date; contribute, as requested, to the ongoing formulation of training and standard operating procedure manuals.

17. Attend department meetings and other required company trainings.

18. Complete other duties as assigned by management.

Qualifications:
Previous experience as an administrative assistant is required. A college degree is preferred.

Must be able to communicate clearly and pleasantly, both verbally and in writing, in English with guests, management, and co-workers, both in person and by telephone.

Proficiency in Microsoft Office is essential.

Exceptional organizational skills are a must.
