Position Summary:

The Purchasing Coordinator plays a crucial role in managing procurement processes by generating purchase orders and meticulously reviewing, verifying, and adjusting invoices received from the finance department. This position also involves addressing inquiries from site agents, subcontractors, team members, and suppliers.

Key Responsibilities:

  • Develop assembly budgets, incorporating all change orders and site-specific adjustments as necessary.
  • Distribute budgets to the finance department; create purchase orders and send them to suppliers and subcontractors.
  • Generate purchase orders for any cost variances that arise for effective budget management.
  • Monitor budget variances and report any discrepancies to the Purchasing Manager, particularly concerning change orders.
  • Ensure all change orders, incentives, and custom modifications are processed through the designated software and communicated to relevant suppliers, subcontractors, and internal stakeholders.
  • Review all projects before distribution to the production team for weekly updates, ensuring accuracy in plot plans, job inspection reports, and change orders.
  • Process weekly payroll to guarantee that subcontractors are compensated accurately and within budget constraints, notifying project managers of any issues that require attention.
  • Verify each job setup in current software, ensuring legal descriptions are accurate and align with plot plan details.
  • Manage quarterly rebates effectively.
  • Maintain comprehensive and accurate vendor files, including certificates of insurance and tax forms.
  • Ensure all purchase orders are reviewed and reconciled at project completion.
  • Keep organized records for accounting change orders and incentives associated with each home.
  • Facilitate positive communication to enhance information flow across departments.
  • Engage in training as necessary, focusing on product knowledge, procedural skills, and software proficiency.
  • Adhere to departmental guidelines and the Employee Manual of Aspen View Homes.
  • Perform additional tasks as assigned by the Purchasing Manager, Director of Purchasing, or VP of Operations.
  • Promote and support a positive, successful, and values-driven workplace culture.

Minimum Qualifications:

Experience: At least 1 year of experience in purchasing or a related field within residential construction.

Education: High school diploma or equivalent.

Physical Requirements: Ability to sit or stand for extended periods, navigate stairs safely, lift up to 50 pounds unaided, and proficiently use PCs and software applications such as Microsoft Word, Excel, and PowerPoint. Willingness to travel locally as required and maintain a valid driver's license.
