Our Homeless Support Services act as a vital resource for individuals facing homelessness, offering essential assistance such as benefits enrollment, case management, transportation, translation, and patient education.

As a Clinic Administrative Specialist I, your primary responsibility will be to ensure exceptional customer service within our medical or dental facilities while managing patient registration, appointment scheduling, and payment processing efficiently. You will collaborate with team members to foster positive experiences for our patients.

This is a full-time role, typically requiring 40 hours of work per week, Monday through Friday.

Key Responsibilities

  1. Proactively manage patient schedules within the medical or dental appointment system to maximize efficiency:
    • Accurately arrange patient appointments, identifying and rectifying any discrepancies.
    • Reach out to patients due for follow-ups to optimize scheduling.
    • Provide resources to assist patients in overcoming obstacles to attending their appointments.
  2. Ensure a seamless revenue cycle process in the clinic:
    • Conduct precise patient registration in accordance with clinic protocols.
    • Collect and document patient payments at the time of service.
    • Oversee the cash handling process in line with established guidelines.
    • Direct patients to Health Benefit Specialists as necessary.
    • Digitally archive all patient documentation and accurately input it into electronic health records.
  3. Deliver a positive experience for both internal and external clients:
    • Provide prompt and courteous service to all individuals entering the facility, calling, or communicating electronically.
    • Document messages accurately and relay them to the appropriate personnel.
    • Maintain a visitor log and manage visitor badges.
    • Ensure the reception area and waiting room are kept clean and organized.
  4. Complete assigned referrals, both internal and external.

Qualifications Required

Essential:

  • High school diploma or equivalent.
  • One year of experience in a healthcare setting or two years in a customer service role.
  • Outstanding customer service abilities.
  • Proficient communication skills in English, both written and verbal.
  • Proficient communication skills in Spanish, both written and verbal.
  • Strong critical thinking skills for effective problem resolution.
  • Self-motivated and reliable.
  • Ability to work collaboratively within a team environment.
  • Capability to follow both written and verbal instructions.
