Position Overview

This role operates under general supervision to execute a range of entry-level administrative and clerical tasks that may necessitate limited independent judgment and skill in processing, communicating, and maintaining various records, files, and information pertinent to specific departmental functions.

Compensation: Pay Grade: 41. Salary is commensurate with experience and education.


Essential Qualifications

100% -

1. A minimum of two (2) years of experience in relevant clerical, bookkeeping, data processing, or statistical roles; AND

2. A high school diploma or equivalent GED; OR

3. One (1) year of relevant clerical, bookkeeping, data processing, or statistical experience along with one (1) year of college coursework (30 semester hours or 36 quarter hours).

4. Proof of education, training, and/or experience is mandatory.

Key Responsibilities

1. Inputs and processes relevant data into computer systems or other record formats for departmental applications, registrations, permits, licenses, and documents.

2. Drafts letters, memoranda, and reports for review and signature.

3. Welcomes customers and addresses inquiries via telephone or in person regarding departmental policies, procedures, and functions.

4. Collects fees and other necessary monetary charges related to departmental services.

5. Maintains and reconciles cash drawers, if applicable, in processing fees or other monetary transactions; calculates daily revenues by balancing cash drawers and recording income.

6. Receives, reviews, and processes records, reports, and various documents for accuracy and compliance with established policies and procedures.

7. Mails or issues department-specific authorized documents or materials as required.

8. Organizes and maintains control records.

9. Gathers data from various sources to prepare and compile standard reports.

10. Operates office machinery.

11. Assists or relieves other clerical staff in assigned work areas.

12. Performs additional related duties as assigned.

Knowledge, Skills, and Abilities (KSAs)

KSAs -

1. Familiarity with modern office practices, procedures, and equipment; adept at operating office machinery.

2. Ability to become proficient in Microsoft Word and Excel; familiarity with computerized databases.

3. Understanding of business English and mathematics.

4. Capability to communicate courteously and tactfully with staff and the public.

5. Ability to plan, organize, and maintain a steady workflow.

6. Proficiency in expressing ideas clearly and effectively, both verbally and in writing.

7. Ability to resolve problem situations effectively.

Special Considerations

1. Availability for shift, weekend, and holiday work as required.

2. Capability to work in a secure environment.
