Position Summary
The Accounts Payable Coordinator plays a crucial role in managing vendor communications and internal customer interactions. This position is responsible for entering invoices and accurately recording all transactions related to purchases from external suppliers and internal departments. The AP Coordinator will collaborate closely with the Accounting team, Supervisor, and Controller, delivering exceptional service to both internal and external stakeholders. Key responsibilities include:
- Managing and responding to the shared accounts payable email inbox
- Processing vendor invoices and documenting transactions in Procurement Express
- Investigating and addressing customer inquiries and concerns
- Conducting customer account reconciliations
- Handling W9 and vendor documentation
- Preparing weekly accounts payable aging reports
- Executing general ledger postings and 1099 filings
- Entering data into QuickBooks Enterprise, including reporting and statements
- Assisting with additional tasks as assigned by management, including support for other Accounting functions
- Exhibiting a strong customer service orientation and maintaining professionalism in all interactions, alongside meticulous attention to detail and organizational skills.
Qualifications
- 3 to 5 years of experience in accounts payable, receivable, credit, collections, or bookkeeping
- Degree in Business or Accounting is preferred
- Strong verbal and written communication skills, with the ability to convey and instruct concepts effectively
- Excellent problem-solving skills and a detail-oriented approach; proactive in process improvement
- Proficient computer skills, including knowledge of MS Office and Google Suite
- Experience with automated accounting software, particularly QuickBooks (mandatory), and familiarity with Microsoft Dynamics or other ERP systems (preferred)
- A desire for continuous learning and professional growth
- A collaborative team player, willing to assist colleagues as needed
