The Patient Services Specialist I plays a crucial role in the healthcare setting by serving as the primary contact for patients. This position is responsible for a variety of essential tasks aimed at enhancing patient experience and ensuring smooth operations within the practice.

KEY RESPONSIBILITIES

  • Welcome patients and visitors with professionalism and respect.
  • Manage appointment scheduling and follow up with reminder communications.
  • Handle incoming calls efficiently, directing inquiries to the appropriate departments.
  • Accurately register patients, ensuring all information is complete and correct.
  • Verify insurance details at the time of registration and secure necessary signatures.
  • Collect and process patient payments, including co-pays and deductibles, while maintaining accurate financial records.
  • Facilitate the referral process and clarify insurance benefits as needed.
  • Check patient eligibility and confirm insurance plan benefits through online resources or direct communication with insurance providers.
  • Assist patients in completing necessary documentation, including medical history and consent forms.
  • Monitor patient wait times and keep them informed of any delays.
  • Guide patients and visitors to the appropriate areas within the facility.
  • Utilize the electronic medical record (EMR) system for communication and documentation.
  • Maintain confidentiality and adhere to HIPAA regulations at all times.
  • Engage in continuous learning to stay updated on industry changes and compliance requirements.
  • Exhibit a positive attitude and foster teamwork by assisting colleagues as needed.

EDUCATION & EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent required; vocational training in healthcare is advantageous.
  • Familiarity with insurance processes, including co-pays and deductibles.
  • Prior experience in billing and accounts receivable is preferred.

SKILLS & QUALIFICATIONS

  • Strong organizational and analytical skills with attention to detail.
  • Proficient in medical terminology and billing practices.
  • Experience with practice management software is a plus.
  • Ability to communicate effectively and professionally with patients and staff.
  • Proficient in Microsoft Office, particularly Excel.

WORK ENVIRONMENT

  • This role is performed in a healthcare environment, requiring frequent interaction with patients and staff.
  • Flexibility to work extended hours may be necessary based on business needs.
