Position Overview:

We are seeking a highly skilled and detail-oriented Front Desk Associate to join our team at Kalologie Long Beach. As the first point of contact for our clients, you will play a crucial role in shaping their experience and ensuring seamless communication throughout their visit.

As a Front Desk Associate, you will be responsible for providing top-notch customer service, managing front office tasks, and ensuring that our clients receive the highest level of care and attention.

Key Responsibilities:
  • Welcoming clients and handling appointment scheduling and rebooking
  • Managing all front office tasks efficiently
  • Conducting personalized consultations to assess client needs and explain the benefits of membership packages
  • Processing membership applications, handling transactions, and ensuring accurate documentation of membership agreements
  • Providing detailed information on medical spa services, treatments, and membership benefits to prospective members
  • Addressing member inquiries, resolving issues, and providing exceptional customer service to enhance member satisfaction and retention
  • Accurately inputting and updating client information in our system
  • Confirming and updating details with each visit
  • Minimizing waiting times and maintaining a clean and organized reception area
  • Acting as a liaison between vendors, representatives, and the manager
Requirements:
  • Flexibility to work evenings and weekends
  • Proven ability to follow processes and adapt in a fast-paced environment
  • Previous experience in a similar role preferred
  • Reliable, punctual, and highly organized
  • Efficient, detail-oriented, and quick to learn
  • Proficient with Mac computers and applications; familiarity with electronic medical records is a plus
  • Friendly, upbeat, and honest demeanor
  • Ability to stay composed under pressure and excel in a busy setting
